About The Position

The National Wildlife Federation (NWF) is seeking an Executive Assistant to join the Development Division's leadership team. This role directly supports the Chief Development Officer (CDO) and the Senior Vice President for Development, who oversee all fundraising, revenue generation, and supporter engagement efforts. The Executive Assistant will manage the executives' time and the division's daily functions in a fast-paced, results-focused environment, collaborating with a diverse team across the country. The NWF is America's largest and most trusted grassroots conservation organization, dedicated to ensuring wildlife thrives in a rapidly changing world.

Requirements

  • 5+ years of work experience as an executive assistant or administrative professional preferred.
  • Proficiency in Microsoft Office Suite.
  • Familiarity with CRM and other fundraising software, various databases, and management reporting tools.
  • High level of self-awareness, empathy, and approachability.
  • Well-honed interpersonal skills.
  • Awareness of multiple group identities and their dynamics.
  • Strong commitment to continuous learning, professional growth, and skills enhancement.
  • Demonstrated ability to work independently and as part of a team.

Responsibilities

  • Orchestrate administrative tasks for the executives, performing routine functions and undertaking complex special projects.
  • Facilitate the efficient utilization of the executives' time through calendar management, meeting coordination, and travel planning.
  • Prioritize key actions for the executives, ensuring timely handling of matters under tight deadlines.
  • Serve as a liaison between the executives and other staff/volunteer leaders, promoting communication and safeguarding confidentiality.
  • Monitor incoming mail, email, and phone calls, routing inquiries appropriately.
  • Assist executives in building relationships with principal donors and partners.
  • Facilitate the review and approval of correspondence, reports, and collaterals.
  • Draft correspondence, documents, and reports; maintain records; process travel and expense vouchers; and update management tools.
  • Cross-train and understand the Development Division's operations to assist with various deliverables.
  • Facilitate Development leadership meetings, including composing agendas, developing materials, and drafting minutes.
  • Help orchestrate department-wide meetings, team-building, and professional development activities.
  • Collaborate with Development leadership to produce standardized reports for monitoring strategy implementation, revenue generation, and resource management.
  • Coordinate administrative and logistical functions for NWF Board and ad-hoc committees staffed by the executives.
  • Develop an understanding of the gift processing function and assist as needed during high-volume periods.
  • Field inquiries from Board Members and other VIPs professionally and timely.
  • Support staff and volunteer leaders in donor cultivation, engagement, solicitation, and stewardship strategies.
  • Provide administrative and logistics support at major events and Board Meetings.
