As an Executive Assistant, you’ll provide high-impact administrative partnership to leaders at the senior leadership team level and below. You’ll own complex calendaring, coordinate logistics for critical meetings, and handle a broad range of operational details—travel, expenses, onboarding support, and office coordination—while exercising sound judgment and discretion with confidential information. This position follows a hybrid schedule with four in-office days per week.

Requirements

  • High school diploma or GED
  • 5+ years of progressively responsible executive administrative support, including direct support to C-suite and/or VP/Senior leaders
  • Experience supporting multiple leaders and balancing competing priorities in a complex, matrixed organization
  • Corporate travel and expense management experience (e.g., Concur, Ariba, AMEX Global Travel), including invoice processing
  • Advanced proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint), SharePoint and OneNote
  • Proven expertise managing complex calendars and coordinating executive-level meetings (virtual and in-person), including Microsoft Teams
  • Proven ability to manage office operations and team logistics (onboarding support, hardware/software requests, and coordination with internal partners)
  • Proven exceptional organizational skills and attention to detail; able to manage multiple projects and deadlines simultaneously
  • Proven excellent written/verbal communication and interpersonal skills; exercises sound judgment and discretion with confidential information

Nice To Haves

  • Experience using AI-assisted tools (e.g., Microsoft Copilot) to draft notes, communications, and administrative deliverables
  • Demonstrated ability to anticipate leader needs, work independently with minimal direction, and mentor/guided other administrative professionals

Responsibilities

  • Manage complex executive calendars across multiple time zones, proactively resolving conflicts and prioritizing time for high-impact work
  • Plan and coordinate high-stakes meetings and events (virtual and in-person), including agendas, logistics, materials, and follow-ups
  • Arrange domestic and international travel; prepare itineraries and submit expenses in a timely, accurate manner
  • Support onboarding and team operations, including equipment/software requests and coordination with internal partners
  • Coordinate office moves or space changes as needed, partnering with facilities/IT and tracking requirements through completion
  • Serve as a trusted point of contact, handling sensitive information with discretion and professionalism
  • Identify opportunities to streamline processes and improve how the team works
