We are hiring a highly experienced Executive Assistant to serve as a trusted partner to Operations leadership. This role requires sound judgment, operational rigor, and the ability to navigate complexity with precision in a fast-moving environment. This position requires you to be onsite 5 days a week at our Headquarters in Santa Clara, CA. What you’ll be doing: You will support three Operations Vice Presidents leading high-impact initiatives. As part of a collaborative EA team, you will optimize executive operations, align priorities to business objectives, and ensure seamless execution across the organization.

Requirements

  • BA degree or equivalent experience
  • 10+ years of Executive Assistant experience supporting C-level or senior executives in complex fast-paced organizations.
  • Strong organizational, project management, and decision-making skills, with the ability to effectively manage multiple priorities.
  • Proven experience operating effectively within a global organization while handling highly sensitive information with discretion.
  • Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word) and collaboration tools such as Teams or Slack.
  • Strong written and verbal communication skills, executive presence, and the ability to build trusted working relationships across all levels.
  • Self-motivated, proactive, creative, flexible, and use good judgment to accomplish tasks on schedule with minimal direction.
  • Demonstrates ownership, resilience, and a high standard of excellence while operating with minimal direction in a fast-paced environment.

Responsibilities

  • Serve as a trusted partner to three Vice Presidents, proactively managing priorities and optimizing their time to ensure seamless execution throughout the day.
  • Maintain efficient and productive calendars – optimize the operating calendar in a way that enables effective execution and alignment
  • Serve as the primary liaison between executives and internal partners, external suppliers, contract manufacturers, and vendors, ensuring clear communication and seamless coordination.
  • Lead the orchestration of meetings including leadership staff, business reviews, all-employee and team meetings, including agenda development, materials consolidation, speaker sequencing, and alignment to executive priorities.
  • Lead end-to-end planning and execution of team events and celebrations including logistics and catering, ensuring alignment with corporate policies, budget allocations, and a high-quality employee experience.
  • Create executive-level Excel charts and PowerPoint presentations, including town hall materials, with modern, visually compelling slide design.
  • Manage complex domestic and international business travel requirements, including coordination of travel documentation such as visas and passport renewals; provide required forms, oversee submission processes, and track approvals to ensure seamless international travel while understanding travel guidelines
  • Lead all aspects of space plans and facilities requirements for the team (includes floor re-shuffles, new hire setups, etc.)
  • Act as an early adopter of enterprise-approved AI technologies, thoughtfully integrating tools into daily operations to streamline processes and elevate productivity.
