About The Position

The North Carolina Museum of Natural Sciences is seeking a dynamic, efficient, and enthusiastic individual to join our team as an Executive Assistant. The primary purpose of the Executive Assistant is to serve as the primary point of contact between parties and the Museum Director, and the Director of Development. The Executive Assistant assists in all areas of responsibility, including day-to-day operations, workflow, calendars and scheduling, file maintenance and retention, and other administrative functions as assigned for both executives.

Requirements

  • Demonstrated experience in calendar management and scheduling, including but not limited to, coordination with internal and/or external parties to select meeting dates, preparing meeting materials, etc.
  • Demonstrated knowledge of Microsoft 360 application use (including Word, Excel, Teams, PowerPoint, etc.)
  • Demonstrated skill in high-volume reporting, including accurate capture and communication of measures, providing meeting minutes for a variety of groups and topics, etc.
  • Demonstrated knowledge of office management skills, including but not limited to, engaging in various forms of communications, record keeping & retention schedules, prioritization, decision-making, and time management.
  • Bachelor's degree, preferably in business administration or a related discipline from an appropriately accredited institution; or Associate's degree in secretarial science, business administration, or a related discipline from an appropriately accredited institution AND two years of progressively responsible administrative/office management experience; OR High school or General Educational Development (GED) diploma and four years of progressively responsible administrative/office management experience; OR an equivalent combination of education and experience.

Responsibilities

  • Support executives through calendar management, prioritizing requests, and troubleshooting conflicts
  • Complete administrative tasks that support the executives’ ability to lead the organization effectively – this includes designing and producing complex documents, reports, and presentations; collecting information for meetings; composing correspondence; maintaining contact lists; and providing email support
  • Attend meetings as requested – provide descriptive, concise minutes and store finalized minutes for record keeping purposes
  • Coordinate and implement meetings or activities for special initiatives as assigned – this includes providing support materials and facilitating Museum launches to promote programs or other cooperative efforts
  • Ensure smooth communication between the executives’ and staff – demonstrating leadership to maintain credibility, trust, and support with Museum staff
