Executive Assistant

Rossen Law FirmFort Lauderdale, FL

About The Position

We’re Not Looking for a Traditional Executive Assistant. We’re Looking for an Operator, Integrator, and Force Multiplier. This is not a typical administrative support role. If you’re looking for a comfortable, passive, task-only position where you simply manage a calendar and take notes, do not apply. If you are someone who thrives in high-performance environments, knows how to bring order to chaos, can protect a visionary CEO’s time, and loves turning big ideas into real execution, this role is for you. This is your opportunity to work directly with Adam Rossen during a major growth phase as we expand the firm, pursue acquisitions, strengthen leadership, and continue building a nationally recognized legal brand. We need someone who can help the CEO stay focused on the highest-value activities while ensuring the business continues to move forward with clarity, accountability, and speed. This role requires someone who can step in, represent priorities, run with projects, and, at times, be Adam when Adam cannot be in the room. This is your opportunity to become the operational right hand of a fast-moving founder and help build something extraordinary. We measure success by results, execution, and momentum — not by effort alone.

Requirements

  • You’re an A-player — you are not looking for easy; you are looking for impact.
  • You have at least 4–6 years of experience supporting a high-level executive, founder, or leadership team in an operations, executive administration, chief of staff, or similar role.
  • You know how to manage up.
  • You are comfortable holding a CEO accountable, following up, and ensuring commitments translate into action.
  • You are highly organized and detail-oriented.
  • You can manage moving pieces, competing priorities, and fast changes without losing control.
  • You are proactive, not reactive. You don’t wait to be told what to do. You see what is needed, solve problems early, and move.
  • You can handle a strong personality. You are confident, composed, and not intimidated by high standards or direct communication.
  • You think in execution. You naturally break big ideas into next steps, owners, deadlines, and accountability.
  • You have strong judgment. You know what needs the CEO’s attention and what should be handled without him.
  • You communicate clearly and professionally. Written, verbal, internal, external, high-stakes, fast-moving — you can do it all.
  • You are discreet and trustworthy. You can handle confidential information and sensitive conversations with maturity and professionalism.
  • You are comfortable representing leadership. You can attend, facilitate, and sometimes lead meetings in a way that reflects the CEO’s priorities and standards.
  • You thrive in a fast-paced environment. You can move quickly, adapt, and still keep things organized.

Responsibilities

  • Own the CEO’s Priorities – Manage Adam Rossen’s calendar, commitments, travel, and focus so his time is spent on the highest-value activities.
  • Drive Follow-Through – Track action items, decisions, deadlines, and priorities so strategic initiatives don’t die in meetings or get lost in the shuffle.
  • Be the Operational Right Hand – Help translate vision into action by organizing next steps, aligning stakeholders, and pushing projects forward.
  • Run Point on Coordination – Work across leadership, marketing, sales, legal operations, and outside partners to keep communication clear and execution tight.
  • Protect the CEO’s Time – Filter requests, manage interruptions, prioritize what matters, and prevent low-value distractions from taking over the schedule.
  • Prepare the CEO to Perform at a High Level – Make sure Adam is fully prepared for meetings, presentations, speaking engagements, podcasts, media opportunities, and major decisions.
  • Step In When Needed – Attend meetings with or on behalf of the CEO, lead meetings he cannot attend, and help move conversations forward with confidence and alignment.
  • Spot Problems Before They Escalate – Anticipate issues, identify bottlenecks, and solve operational problems before they slow down progress.
  • Create Structure in a Fast-Moving Environment – Bring order, systems, prioritization, and accountability to a business that is growing quickly and moving fast.
