The Executive Assistant, U.S. Chamber of Commerce Foundation will join a team that plays a pivotal role in ensuring team processes are optimized, workflows are streamlined, and the Foundation leadership operates at peak efficiency. This individual will provide comprehensive administrative and operational support for 2-3 of the senior leaders of the Foundation while serving as a trusted liaison between the other members of the Foundation leadership, Foundation staff, and external partners. The ideal candidate is a highly resourceful, proactive team player who exercises sound judgment, maintains the highest level of discretion, and thrives in a fast-paced, mission-driven environment.

Requirements

  • 5+ years of experience supporting a C-suite or high-level executives.
  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously and meet deadlines.
  • Excellent verbal and written communication skills, including strong writing, editing, and proofreading abilities.
  • High level of professionalism, diplomacy, and personal accountability.
  • Ability to exercise sound judgment and maintain confidentiality in a variety of situations.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, and internet research.
  • Proactive, self-motivated, and capable of working both independently and collaboratively as part of a team.

Nice To Haves

  • Bachelor's degree preferred but not required.
  • Familiarity with project management tools and social media platforms a plus.

Responsibilities

  • Proactively manage the complex calendars, prioritize appointments, and schedule meetings to ensure efficient use of leaders’ time.
  • Prepare and organize briefing materials, agendas, and background documents for meetings and presentations.
  • Coordinate domestic travel arrangements, including transportation, accommodations, and logistics.
  • Draft, edit, and finalize correspondence and other documents for transmission to senior executives and external partners.
  • Provide timely follow-up from meetings, tracking action items and next steps.
  • Maintain strict confidentiality and handle all sensitive information with the utmost discretion.
  • Manage information flow to and from the senior Foundation leaders.
  • Prepare expense reports and track reimbursement checks.
  • Update and maintain recurring reports and key operational documents.
  • Support the development and implementation of internal processes and workflows to enhance organizational efficiency.
  • Conduct research and compile data to support the senior leaders’ decision-making and special projects.
  • Serve as a primary point of contact and gatekeeper for 2-3 Foundation leaders, managing correspondence and responding to inquiries with professionalism and diplomacy.
  • Act as a liaison between the senior Foundation leaders and Foundation staff, Chamber staff, and outside individuals and organizations, coordinating and facilitating effective communications.
  • Demonstrate the highest level of customer/client service and responsiveness while balancing competing demands.
  • Assist in planning, organizing, and executing Foundation events, board meetings, conferences, and team gatherings.
  • Arrange meeting rooms, catering services, and other logistics; greet visitors and assist with on-site meeting preparation.
  • Coordinate and track project deliverables, timelines, and milestones on behalf of the members of the senior leadership team.
  • Complete special research projects and other assignments as directed by the 2-3 senior Foundation leaders.
  • Provide select administrative support for key Foundation programs on occasion and as directed by the 2-3 senior Foundation leaders.
