About The Position

Phasor Engineering Inc. is a dynamic Alberta-based company specializing in engineering, design, and testing/commissioning of medium to high voltage electrical facilities. Phasor Engineering is seeking a highly organized and proactive Executive Assistant to support the President. This role is critical in ensuring the smooth operation of executive functions by managing schedules, coordinating travel, processing expenses, and providing high-level administrative support. The ideal candidate is detail-oriented, discreet, and thrives in a fast-paced, professional environment.

Requirements

  • Minimum 5 years of experience supporting senior leadership or executive-level management (required).
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Exceptional organizational and time management skills.
  • High level of professionalism, discretion, and confidentiality.
  • Strong written and verbal communication skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.

Nice To Haves

  • Experience in engineering, construction, or technical services industries is an asset.
  • Familiarity with expense management and travel booking systems.
  • Self-motivated, resourceful, and solution-oriented mindset.

Responsibilities

  • Provide direct administrative support to the President.
  • Manage and maintain complex calendars, including scheduling internal and external meetings.
  • Coordinate and prepare materials for meetings, presentations, and executive communications.
  • Screen and prioritize incoming correspondence and requests.
  • Arrange and manage all travel logistics, including flights, accommodations, transportation, and itineraries, and manage all required changes.
  • Prepare detailed travel itineraries and ensure all arrangements align with business priorities.
  • Complete and submit expense reports accurately and in a timely manner.
  • Assist with day-to-day office operations to ensure a smooth and efficient work environment.
  • Coordinate office supplies, vendor relationships, and service providers, as required.
  • Support onboarding logistics and general administrative needs across departments.
  • Help organize company meetings, leadership sessions, and internal events.
  • Maintain office systems, records, and documentation.
  • Maintain confidential files and executive records.
  • Assist with leadership meetings, and Corporate-related documentation as required.
  • Support cross-department coordination on executive initiatives.
  • Track deadlines and follow up on action items to ensure timely completion.
  • Duties and tasks may be changed at the President’s request.
