About The Position

The Executive Assistant supports the BELLA+CANVAS Executive Vice President (EVP) and department leadership, ensuring seamless executive operations while driving business initiatives, culture-building initiatives, department events, and functioning as the department lead for employee engagement, new hire onboarding and cross-functional collaboration. The position combines executive support, business operations, project management, employee experience, community building, event leadership, and organizational communications to improve operational efficiency and support the overall success of the department.

Requirements

  • Bachelor's Degree or equivalent experience
  • 1-3 years proven experience as an executive assistant or other relevant administrative support experience.
  • Experience leading events, executive meetings, and leadership offsites from concept through execution.
  • Demonstrated success managing cross-functional projects and collaborating with stakeholders.
  • Experience managing vendor relationships, contract negotiations, event budgets, and procurement processes.
  • Experience with internal communications, executive presentations, SharePoint administration, or knowledge management.
  • Proficiency with project management and collaboration tools such as Microsoft Teams, SharePoint, Asana, Concur or similar platforms.
  • Strong verbal and written communication skills.
  • Excellent time management and prioritization skills.
  • Ability to maintain a high level of confidentiality.
  • Responsive to team needs with professionalism, respect and consideration of others

Nice To Haves

  • Experience in the apparel, consumer goods, retail, manufacturing, or related industry is preferred.

Responsibilities

  • Provide day-to-day administrative support to the Executive Vice President, BELLA+CANVAS and members of the staff.
  • Manage the executive calendar, prioritizing competing demands while coordinating meetings across internal and external stakeholders.
  • Coordinate domestic and international travel, including itineraries, accommodations, transportation, expense approvals, and travel documentation in accordance with company policy.
  • Prepare executive presentations, reports, dashboards, agendas, briefing materials, and supporting documentation for recurring and ad hoc meetings.
  • Coordinate executive leadership meetings, including Weekly WIG meetings, All Hands, leadership offsites, business reviews, strategic planning sessions, and leadership retreats by managing presentation flow, presenter assignments, meeting logistics, and overall readiness.
  • Track leadership deliverables and proactively follow up to ensure projects, presentations, and key business initiatives remain on schedule.
  • Serve as a trusted liaison between executive leadership and cross-functional teams to drive communication, alignment, and execution.
  • Manage strategic department projects and initiatives, driving accountability, communication, and successful delivery across multiple stakeholders.
  • Maintain departmental Travel & Entertainment (T&E) and sample budgets, monitor departmental spending, and support budget planning and financial reporting.
  • Research vendors, obtain competitive quotes, negotiate services, and coordinate vendor selection for business initiatives and corporate events.
  • Develop and continuously improve operational processes, documentation, templates, and workflows that increase efficiency, support scalable business operations, and enhance organizational effectiveness.
  • Plan and execute department events and meetings and BELLA+CANVAS customer experiences.
  • Partner with internal departments and external vendors to deliver successful events and strategic business initiatives.
  • Maintain the department SharePoint site, department libraries, operational documentation, templates, and knowledge resources.
  • Create, organize, and maintain standard operating procedures (SOPs), playbooks, onboarding resources, and department templates.
  • Prepare and/or distribute department communications, leadership updates, recognition announcements, newsletters, and organizational communications.
  • Administer the end-to-end onboarding experience for department new hires, coordinating cross-functional activities to ensure a seamless and engaging first-day, first-week, and first-90-day experience.
  • Serve as a community builder and culture champion by fostering meaningful connections across the department and helping create an inclusive, collaborative, and high-performing team environment.
  • Perform other duties as assigned.
