Reporting to the VP of Program Management, the Executive Assistant will play a pivotal role in supporting Program Management Leadership by delivering professional, friendly, and efficient service. This includes managing schedules, coordinating meetings, preparing detailed reports, and facilitating seamless communication within the program management team. By ensuring that all administrative tasks are handled with precision and care, the Executive Assistant will enable leadership to focus on driving innovation and achieving strategic goals.

Requirements

  • Bachelor's Degree (Master’s degree a plus)
  • 5+ years of Executive Administrative experience
  • Solid knowledge of MS Office
  • Exceptional interpersonal, oral, and written communication skills, including the ability to work effectively in a diverse team environment
  • Ability to work under extreme pressure and deadlines
  • Flexibility in working hours
  • Professional and friendly demeanor
  • Thorough attention to details
  • Self-motivated but able to collaborate as a team
  • Strong knowledge of all clerical activities and duties
  • Excellent people skills to interact positively with all internal and external parties
  • Excellent organizational, problem-solving, and multitasking skills
  • Ability to self-govern with minimum supervision, establish workload priorities, and utilize efficient time management practices to achieve assigned tasks
  • U.S. Person or lawful permanent resident to comply with U.S. government space technology export regulations.

Responsibilities

  • Coordinate with Program Management leadership and senior team members to ensure effective communication and task follow up.
  • Manage travel plans and schedules, ensuring alignment with program timelines and leadership commitments.
  • Serve as the first point of contact, addressing inquiries promptly and ensuring a positive experience for all stakeholders.
  • Develop and maintain efficient filing, record keeping, and document management systems for program related materials.
  • Manage communications, prioritizing and responding to messages promptly.
  • Draft, review, and edit reports, presentations, and memos, ensuring accuracy and alignment with company standards.
  • Handle sensitive information with discretion and ensure secure storage of confidential documents.
  • Promote professionalism and excellence within the Program Management team.
  • Comply with company policies and security protocols in all administrative practices.
  • Foster strong working relationships and coordinate cross functional initiatives that support program objectives.
  • Adapt to evolving needs and take on new responsibilities as required.
