About The Position

The Executive Assistant supports effective executive leadership, providing high-level, trusted administrative support to execute the strategic objectives established by the Board of Trustees and fulfilling the legislated mandate of the CMHR. The incumbent is responsible for managing a range of office operations, which includes responding to information requests, invitations, scheduling, internal and external communications, meeting and travel management, and agenda setting and monitoring. The incumbent will have exceptional organizational and communication skills and will be a professional and solution-focused team player.

Requirements

  • Minimum of 5 years related experience and/or equivalent combination of education, skills and experience, including post-secondary education in office or business administration.
  • Commitment to human rights principles, including respect, equity, inclusion and dignity for all.
  • High degree of professionalism and tact especially as it relates to dealing with confidential or sensitive information.
  • Exceptional time management skills, with the ability to multi-task and prioritize.
  • Strong communication skills both oral and written.
  • Strong attention to detail.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook), with particular aptitude for preparing and formatting notes, reports and documents.

  • Ability to communicate proficiently in both of Canada's official languages (English and French).
  • Post-secondary education in office or business administration or a related field.
  • Demonstrated ability to manage sensitive information and escalate relevant information.
  • Demonstrated ability organizing large meetings and/or events with executive-level participation.
  • Ability to think critically and work effectively with minimal supervision.
  • English essential, French preferred.
  • While preference will be given to candidates who speak French, we welcome applications from all interested candidates.
  • This position may have to handle and understand requests in French from internal and external partners.

Responsibilities

  • Contribute to a culture that promotes respect, equity, inclusion and innovation, and models anti racist and accountable behaviours.
  • Manage the Executive’s calendar, including triaging requests and enquiries, scheduling, meeting arrangements and communications and prioritizing or diarizing follow-ups and responses.
  • Handle oral and written communications, including responding to enquiries and messages, writing and editing emails, drafting letters and memos, on the executive's behalf.
  • Manage documents, including editing, formatting, coordinating and incorporating input, drafting agendas, coordinating bring-forwards, taking minutes and developing and maintaining other record keeping and information management processes.
  • Coordinate travel, procurement, expenses, and other administrative support to the Executive or departmental activities.
  • Routinely works with highly confidential information.
  • Use various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects.
