Requirements

  • Exceptionally organized with outstanding attention to detail.
  • Able to prioritize multiple projects and changing deadlines.
  • Strong written and verbal communicator.
  • Professional, polished, and comfortable interacting with executives and board members.
  • Skilled at maintaining confidentiality and handling sensitive information.
  • Proactive, resourceful, and able to work independently with minimal direction.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Strong customer service orientation with excellent interpersonal skills.
  • Exceptional proofreading abilities to ensure accuracy in written communications.
  • Experience in project coordination to support various initiatives effectively.
  • Familiarity with file management systems and clerical duties.
  • Bachelor’s degree (B.A.) from four-year college or university; or five+ years related experience and/or training; or equivalent combination of education and experience.

Responsibilities

  • Manage the CEO's calendar, travel arrangements, meetings, and executive correspondence.
  • Prepare, review, and proofread presentations, reports, and executive communications.
  • Coordinate Board of Directors and committee meetings, including agendas, meeting materials, minutes, and follow-up action items.
  • Serve as a professional point of contact for board members, employees, customers, vendors, and other business partners.
  • Handle highly confidential information with professionalism, discretion, and sound judgment.
  • Assist with legal and corporate administration, including maintaining corporate records and supporting communications with attorneys, consultants, and vendors.
  • Proofread legal documents and organize legal files, pleadings, and discovery materials.
  • Coordinate executive meetings, company events, luncheons, and employee celebrations.
  • Manage special projects and executive initiatives while tracking deadlines and deliverables.
  • Recommend process improvements that enhance efficiency and organization.
  • Provide backup support for company phones, employee call-ins, voicemail greetings, and mail distribution as needed.
