About The Position

Provides administrative, clerical and secretarial support to multiple executives and others in the organization. Works independently to perform administrative duties including organizing, planning, scheduling and tracking responsibilities for the entire team. Assists management team to achieve defined business goals.

Requirements

  • Requires a high school education or GED.
  • Requires (5) five years of secretarial or administrative experience.
  • Able to communicate either written and verbal communications either in person or through technical equipment such as telephone.
  • Able to demonstrate and apply the manual dexterity to operate a personal computer and common office equipment.
  • Able to exert up to 10 pounds of force occasionally, and/or a minimal amount of force frequently to lift, carry, push, pull, or otherwise move objects.
  • Able to reach, grasp, and move items.
  • Able to sit, stand or walk for long periods of time.

Nice To Haves

  • Completion of the Certified Professional Secretary (CPS) designation or the Certified Administrative Professional (CAP).

Responsibilities

  • Schedules appointments, maintains calendars, coordinates meetings and functions, coordinates logistics for same, and plans events, arranges catering and makes travel arrangements.
  • Provides assistance and information to personnel inside and outside the Company.
  • Assists with annual budget and planning as requested, including preparing cost center reports, monitoring monthly variance reports, and maintaining related files.
  • Prepares sophisticated text, spreadsheets, graphics and chart material for use in presentations, reports and correspondence.
  • Provides general administrative and clerical support.
  • Handles confidential matters and information.
  • Proofreads documents and checks signature items for accuracy and conformance to company policy, practice and procedures.
  • Initiates, coordinates and/or monitors status of assignments and action items delegated to the executive and others in the organization.
  • Organizes and maintains electronic and physical files, records and documentation, in compliance with retention and destruction policies.
  • Prepares, completes and submits requests for expense reimbursement, payments to vendors, and tracking department expenses.
  • Orders standard and non-stock office supplies and equipment.
  • Participates in and supports special projects, committees and task forces to accomplish assignments (such as reorganizations, office relocation or software implementation) and volunteer activities.
  • Perform other duties as assigned.
