About The Position

Reporting directly to the Associate Vice President (AVP) of Innovation, Industry & Economic Development, the Executive Assistant provides high-level administrative, operational, and strategic support to the AVP and serves as a key administrative partner in advancing Cal Poly’s innovation, industry engagement, workforce development, and regional economic development priorities. The Office of Industry, Innovation and Economic Development (OIIED) serves as a central coordinating entity that aligns the university’s capabilities with regional and statewide priorities in sectors such as clean energy, aerospace, agriculture, maritime, and advanced manufacturing.

Requirements

  • Demonstrated ability to manage complex executive schedules, priorities, and logistics with a high level of independence and sound judgment.
  • Strong coordination and project management skills, including tracking multiple initiatives, deadlines, and follow-ups across stakeholders.
  • Excellent written and verbal communication skills, with the ability to prepare briefing materials and interact professionally with diverse constituents.
  • Experience organizing meetings and events, including logistics, agendas, stakeholder coordination, and post-meeting follow-through.
  • Knowledge of administrative and operational processes such as budgeting, travel coordination, reimbursements, and documentation management.
  • Equivalent to a bachelor’s degree in related field and four years of relevant experience.
  • Possession of a valid Driver’s License or the ability to obtain by date of hire.

  • An advanced degree in a related field may be substituted for the required education on a year-for-year basis.
  • Additional experience which demonstrates acquired and successfully applied knowledge and abilities may be substituted for the required education on a year-for-year basis.
