The company is seeking a highly organized, proactive, and resourceful Executive Assistant to support their C-level leadership. This role is critical to the day-to-day effectiveness of the leadership team. The Executive Assistant will act as a trusted partner, managing priorities, anticipating needs, and ensuring seamless operations across scheduling, communications, and executive initiatives. Field AI is solving one of the world’s most complex challenges: deploying robots in unstructured, previously unknown environments. Their Field Foundational Models™ set a new standard in perception, planning, localization, and manipulation, ensuring their approach is explainable and safe for deployment. Requirements

  • 5+ years of experience supporting senior executives, ideally at the C-suite level
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage competing priorities in a fast-paced environment
  • High level of professionalism, judgment, and discretion with confidential information
  • Excellent written and verbal communication skills
  • Advanced proficiency in Google Workspace and/or Microsoft Office tools
  • Ability to work onsite in Irvine, CA, five days per week

Responsibilities

  • Manage complex and dynamic calendar scheduling across multiple time zones, prioritizing meetings and resolving conflicts
  • Coordinate domestic and international travel, including itineraries, scheduling details, and expense reconciliation
  • Serve as a gatekeeper for the C-level leadership’s time, ensuring focus on highest-impact priorities
  • Support meeting preparation, including agendas, materials, note-taking, and follow-ups on action items
  • Draft and manage communications on behalf of the C-level leadership, including emails and internal updates
  • Partner cross-functionally with leadership and other stakeholders to drive alignment and execution
  • Plan and coordinate executive meetings, events, and offsites
  • Maintain confidential files, documents, and records with a high level of discretion
  • Anticipate needs, solve problems proactively, and improve administrative processes for efficiency
  • Support special projects and initiatives as needed
