About The Position

Spring Health is seeking a highly organized, proactive, and service-oriented Executive Assistant to support key leaders in our New York office while helping create a seamless in-office experience for employees and visitors. This role will be a key operational presence in the SF office, while supporting two of our C-Suite executives. This is a full-time, hybrid role based in the New York office with 3 days per week required in-person. This role will report directly to the Manager, Executive Support. Occasional travel may be required for team or company events and/or meetings.

Requirements

  • 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting executives or senior leaders.
  • Ability to work from the NYC office 3 days per week and coordinate effectively with both in-person and remote executives, team members, and stakeholders.
  • Exceptional organizational skills, with the ability to manage multiple priorities, deadlines, and moving pieces in a fast-paced environment.
  • Strong calendar management skills, including the ability to prioritize meetings, resolve scheduling conflicts, and create more focus time for leaders.
  • Excellent written and verbal communication skills, with the ability to interact professionally and confidently with stakeholders at all levels.
  • Sound judgment and discretion when handling confidential, sensitive, or time-sensitive information.
  • A proactive mindset, with the ability to anticipate needs, flag potential issues, and take action before being asked.
  • Strong attention to detail and accuracy, especially when preparing materials, managing logistics, and maintaining information.
  • Comfort using AI and productivity tools to improve efficiency, streamline workflows, draft communications, summarize information, and reduce manual work.
  • Proficiency with Google Workspace, Slack, Zoom, and other collaboration or productivity tools.
  • Ability to stay composed, flexible, and solutions-oriented when priorities shift or urgent needs arise.

Responsibilities

  • Proactively support executive leaders by managing calendars, priorities, meeting preparation, and follow-up.
  • Coordinate complex scheduling across internal and external stakeholders, including interviews, leadership meetings, and cross-functional forums.
  • Prepare leaders for upcoming meetings by organizing agendas, materials, briefing notes, and relevant context in advance.
  • Track action items, deadlines, and follow-ups to ensure work moves forward and nothing falls through the cracks.
  • Serve as a trusted point of contact between leaders and internal/external stakeholders, handling communications with professionalism, discretion, and urgency.
  • Manage meeting logistics for recurring leadership forums, team meetings, onsite/offsite events, and department-wide gatherings.
  • Support the planning and execution of department All Hands meetings and other leadership forums, including agendas, materials, logistics, and follow-through.
  • Arrange domestic and international travel, including flights, accommodations, ground transportation, itineraries, and visas when needed.
  • Draft, proofread, and edit business documents, including emails, memos, agendas, presentations, and meeting notes.
  • Organize and maintain confidential information, documents, and team resources so they are accurate, accessible, and easy to navigate.
  • Process expenses and reimbursements in a timely and accurate manner.
  • Use AI tools thoughtfully to improve efficiency and quality across workflows, including drafting communications, summarizing meetings or materials, organizing information, preparing first drafts, and streamlining recurring tasks.
  • Help leaders stay informed by surfacing relevant context, flagging scheduling conflicts, and anticipating upcoming needs.
  • Handle changing priorities and urgent requests with sound judgment, composure, and resourcefulness.
