About The Position

The College of Physicians and Surgeons of Ontario (CPSO) is the province’s medical regulator. We have a mission to serve the public interest in Ontario’s health system, ensuring patients receive quality care from fully trained, highly competent, deeply compassionate, and ethically guided doctors. We’re looking for a proactive, organized team player with exceptional communication skills to join the Quality & Accreditation team. As the Executive Assistant, you’ll provide dedicated, high-level administrative support to the Director, managing and coordinating a wide range of activities.

Requirements

  • Post-secondary education in business administration or a related field, plus 3+ years of experience providing senior-level administrative support.
  • Advanced proficiency in Microsoft 365, and Adobe Acrobat; experience with Co-pilot and other generative AI is an asset.
  • Highly organized with strong problem-solving abilities and exceptional attention to detail.
  • Clear, confident communicator who can build positive relationships at all levels and consistently execute senior-level quality service delivery.
  • Resourceful and self-motivated, able to take initiative and work effectively with minimal supervision.
  • Trusted to routinely handle sensitive and confidential information with professionalism and discretion.
  • Comfortable managing changing priorities in a fast-paced environment.
  • Understanding of the College’s structure, policies, and regulatory functions is required.

Responsibilities

  • Provide high-level administrative support to the Director and across the Quality & Accreditation teams, including calendar management, travel arrangements, budgeting and other administrative functions as required.
  • Coordinate and manage meetings - prepare agendas, track follow-ups, and handle logistics for virtual and in-person sessions.
  • Provide seamless support for the Director’s activities by maintaining a strong understanding of organizational priorities, and division-specific matters.
  • Serve as a liaison with internal and external stakeholders.
  • Prioritize and manage issues requiring the Director’s attention, ensuring timely follow-up and resolution.
  • Support financial processes - process invoices, process expenses, and manage purchase orders.
  • Facilitate onboarding and IT support for new team members and maintain smooth operations across the division.
  • Assist with special projects and other duties, bringing flexibility, consistent critical thinking, professionalism, discretion, and a systems-thinking approach.
