The Executive Assistant position is a full-time in-person role to complete the assigned tasks. Essential Functions: Provide administrative support to Bank Administration, assisting with a variety of projects and daily operational activities. Serve as the Bank's designated Security Officer, overseeing compliance with the Corporate Security Program. Conduct annual security assessments and reviews at all bank locations and ensure appropriate corrective actions are implemented as needed. Administer and monitor compliance with the Gramm-Leach-Bliley Act (GLBA), ensuring the protection of customer privacy and confidential information. Compile reports, documentation, and materials from various departments for inclusion in the monthly Board of Directors packet. Facilitate communication with Board members as needed and maintain strict confidentiality of all Board-related information and documents. Coordinate the procurement and distribution of office and operational supplies. Collaborate with vendors to place and track orders, ensure timely delivery, and support cost-control initiatives that protect the Bank's financial interests. Manage scheduling and utilization of shared Bank resources, including conference rooms, company vehicles, and other facilities through the CCB calendar system. Partner with the Facilities Manager and external vendors to support building maintenance and upkeep. Assist in resolving vendor-related issues and monitor service completion to ensure work meets established standards. Coordinate incoming and outgoing mail services, including UPS, FedEx, and other shipment requests. Maintain building access records, including key inventories and access logs. Administer employee key fobs and building access permissions in accordance with Bank security protocols. Assist with the planning, coordination, and execution of Bank meetings, events, and employee activities as requested. Maintain regular on-site attendance during standard business hours to effectively perform the responsibilities of the position. Demonstrate regular, reliable, and predictable attendance to ensure the successful completion of assigned duties and responsibilities. Perform additional duties and special projects as assigned. Additional Responsibilities: Participate in Community Service and Bank-sponsored activities that serve and support the mission and values of CCB. Provide superior internal and external customer service: must demonstrate self-governance, courtesy, and respect toward external customers as well as internal customers (all organization personnel). Must comply with all company policies and procedures and all applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control. Must complete the assigned online training courses and achieve a passing score by due date. Represent in a professional manner which includes a professional image, confidentiality, a positive attitude, good attendance, punctuality, flexibility and adaptability in meeting bank and customer needs.

Requirements

  • High school diploma or equivalent required.
  • Demonstrated ability to handle confidential and sensitive information with the highest degree of professionalism, discretion, and integrity.
  • Strong organizational, administrative, time management, and project management skills with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Excellent written, verbal, and interpersonal communication skills, including the ability to interact effectively with executive management, board members, employees, vendors, and external partners.
  • Strong attention to detail and commitment to accuracy in preparing reports, records, and other business documents.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint; ability to learn and effectively utilize Bank-specific software and systems.
  • Self-motivated with the ability to work independently, exercise sound judgment, and make decisions within established guidelines.
  • Ability to adapt to changing priorities and effectively manage competing demands.
  • Valid driver's license and ability to travel periodically between Bank locations, if required
  • Must be able to operate routine office equipment including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators.
  • Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary.
  • Must be able to work extended hours or travel off site whenever required or requested by management.
  • Must be capable of regular, reliable and timely attendance.
  • Must be capable of climbing / descending stairs in an emergency situation.
  • The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation/inspection of machines and/or using measurement devices at distances close to the eyes.

Nice To Haves

  • 2-3 years of banking experience preferred.
  • Experience supporting executive leadership is preferred.
  • Knowledge of banking operations, security practices, regulatory compliance requirements, and privacy regulations, including the Gramm-Leach-Bliley Act (GLBA), preferred.
  • Experience coordinating projects, vendor relationships, facilities maintenance activities, and office operations preferred.
