About The Position

This is a part-time, home-based Executive Assistant role supporting an executive in an Energy & Professional Services Company in the US. The role involves comprehensive executive support, including calendar management, inbox monitoring, document preparation, and meeting coordination. Additionally, it provides project and operations support, assisting with project timelines, vendor communications, and property-related administrative tasks. Financial administration is also a component, requiring support with QuickBooks data entry and financial record management.

Requirements

  • Proficiency in managing complex calendars and schedules across multiple time zones
  • Experience in monitoring and managing executive inboxes
  • Ability to prepare meeting agendas, pre-read materials, and executive documentation
  • Skills in attending meetings, recording action items, and monitoring deliverables
  • Experience coordinating with internal teams, external partners, and stakeholders
  • Proficiency in preparing board papers, presentations, reports, and executive communications
  • Experience managing confidential documents, contracts, NDAs, and version-controlled files
  • Strong drafting, proofreading, and formatting skills for professional correspondence
  • Ability to coordinate project timelines, milestones, and vendor communications
  • Experience assisting with supplier, contractor, and service provider coordination
  • Skills in supporting property-related administrative activities, scheduling, and operational tasks
  • Ability to manage calendars and logistics related to operational projects
  • Experience with transactional data entry in QuickBooks

  • Ability to maintain organized financial and operational documentation

Responsibilities
