Executive Assistant

Flourish Health•Minneapolis, MN
•$80,000 - $94,000•Remote

About The Position

Flourish Health is building the future of youth mental healthcare. We provide comprehensive, team-based care for children, adolescents, and young adults with serious mental health conditions. By combining exceptional clinicians with thoughtfully designed technology, we're making specialty mental healthcare more accessible, effective, and scalable. We're growing quickly and looking for exceptional people who care deeply about improving the lives of kids and families. We're looking for an exceptional Executive Assistant to help our Co-Founder and CEO operate at her highest level. You'll own the coordination, preparation, and follow-through surrounding the CEO—protecting her time, anticipating needs, keeping commitments moving, and removing administrative friction. Importantly, your goal is to make our CEO more accessible and available, not less. By creating capacity, you'll help her spend more time leading, connecting with our team, building relationships, and focusing on the areas where she can have the greatest impact. This is a high-trust role requiring exceptional judgment, organization, warmth, and follow-through.

Requirements

  • Experience supporting a CEO, founder, or senior executive in a fast-moving organization.
  • Exceptional organization, judgment, discretion, and attention to detail.
  • Excellent written and verbal communication.
  • Proactive problem-solving and the ability to anticipate needs.
  • Confidence interacting with employees, executives, board members, investors, candidates, and partners.
  • Persistent follow-through and comfort respectfully pushing the CEO when needed.
  • Warmth, hospitality, and an instinct for facilitating connection rather than gatekeeping access.

Nice To Haves

  • You love making complicated things feel simple. You anticipate what needs to happen, close loops without being asked, and notice both the operational details and the human ones.
  • You don't see protecting a CEO's time as keeping people away from her. You remove the friction that allows her to show up more often, more prepared, and more fully present.
  • You take pride in creating the conditions that help an ambitious, mission-driven team do its best work for kids and families.

Responsibilities

  • Manage a complex, rapidly changing calendar around the CEO's highest priorities.
  • Make it easy for the right people to get time with the CEO while protecting focus and preparation time.
  • Manage select personal scheduling to create an integrated view of the CEO's time.
  • Coordinate travel, logistics, expenses, and other administrative needs.
  • Maintain a trusted system for commitments, follow-ups, and deadlines.
  • Help prioritize what needs the CEO's attention each day and week.
  • Anticipate upcoming meetings and decisions and ensure the CEO is prepared.
  • Surface outstanding items before they become bottlenecks.
  • Help manage the CEO's inbox by triaging messages, surfacing priorities, drafting responses, and routing requests.
  • Ensure employees and external stakeholders receive timely responses and don't get lost in a busy inbox.
  • Track commitments and ensure appropriate follow-through.
  • Help the CEO be highly responsive without personally managing the administrative work behind every interaction.
  • Coordinate meetings and follow-ups with health plan executives and other key partners.
  • Prepare relevant context and materials ahead of important conversations.
  • Track next steps and coordinate internal owners following meetings.
  • Help the CEO maintain thoughtful, responsive external relationships.
  • Coordinate board meetings, materials, scheduling, and logistics.
  • Ensure the CEO is prepared for board and executive meetings.
  • Coordinate logistics for important leadership meetings.
  • Support senior leadership recruiting, including interviews, candidate communication, and references.
  • Help bring Flourish's culture to life through thoughtful traditions, celebrations, and moments of connection.
  • Own birthdays, work anniversaries, and select culture initiatives until we hire dedicated Culture & Events leadership.
  • Support company, executive, and team offsites and gatherings.
  • Create thoughtful experiences that help employees feel known, appreciated, and connected to Flourish.
