About The Position

We are seeking an Executive Assistant (EA) for the executive team, who can operate with discretion, analytical capability, and executive presence. The ideal candidate thrives in a fast-paced, results-oriented environment and is equally comfortable preparing executive-level reports as managing day-to-day coordination and communications. This role requires a professional who can balance high-competency strategic support with hands-on execution, someone who ensures the executive members’ time, decisions, and communications are optimized to advance corporate objectives.

Requirements

  • Bachelor’s degree in business administration, Communications, or a related field (or equivalent experience).
  • 1+ years of experience as an Executive Assistant supporting leadership in a corporate or high-growth environment.
  • Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook); experience with project management or CRM tools preferred.
  • Strong analytical and reporting skills, with demonstrated experience developing executive summaries or dashboards.
  • Exceptional written and verbal communication skills, with attention to tone, accuracy, and professionalism.
  • Proven ability to work independently and maintain productivity in a remote or hybrid setting.

  • Experience in construction, manufacturing, or engineering industries preferred.

Responsibilities

  • Executive and Administrative Support Manage complex calendars, coordinate meetings, and arrange travel with accuracy and efficiency.
  • Prepare, edit, and format correspondence, reports, and presentations for internal and external audiences.
  • Anticipate needs and proactively manage follow-up actions and commitments.
  • Data and Reporting Compile and analyze operational and financial data for executive teams review.
  • Develop and maintain reports, dashboards, and summaries that support decision-making.
  • Support preparation for board and leadership meetings, ensuring data accuracy and presentation quality.
  • Project and Workflow Management Track key initiatives, milestones, and deliverables assigned by the Executive.
  • Coordinate with department heads to ensure accountability and progress on strategic goals.
  • Manage confidential projects involving personnel, contracts, or business operations with discretion.
  • Meeting and Communication Coordination Prepare agendas, meeting materials, and minutes; track follow-up items and ensure completion.
  • Support communication strategies, including drafting internal updates, executive summaries, and correspondence.
  • Ensure smooth coordination between the executive’s office and internal departments.
  • Confidentiality and Professionalism Handle sensitive information with the highest level of confidentiality, judgment, and integrity.
