Reducto helps AI teams ingest real-world enterprise data with state-of-the-art accuracy. Most enterprise data, from financial statements to health records, is locked in unstructured file formats like PDFs and spreadsheets. The Opportunity As Executive Assistant to the CEO, you'll play a key role in keeping Reducto's CEO focused and operating at peak effectiveness during a period of rapid growth. You'll own the CEO's email and calendar with a high degree of autonomy, while dedicating roughly 10 hours per week to keeping the SF office running smoothly. This is a high-trust role where your judgment and discretion directly shape how the CEO spends their most valuable resource: time.

Requirements

  • Hold yourself to a high bar for quality, accuracy, and discretion. You treat the CEO's email and calendar as if they were your own.
  • Are a step-ahead thinker who anticipates needs, catches problems early, and follows through without being asked twice.
  • Have 4+ years of experience supporting a CEO or C-suite executive, ideally at a fast-growing tech company.
  • Communicate with confidence and professionalism across all levels, from investors to new hires.
  • Thrive with autonomy. You don't need a lot of hand-holding to figure out what needs to get done.

Nice To Haves

  • Have prior experience as an EA directly supporting a CEO, founder, or senior executive at a startup.
  • Are fluent in Google Workspace (Gmail, Calendar, Docs) and tools like Notion, Slack, or Brex/Ramp.
  • Have experience managing office operations at an early-stage company.
  • Care deeply about the details that make a leader and a team operate at their best.

Responsibilities

  • Own the CEO's inbox and calendar end-to-end, triaging emails, drafting responses, scheduling meetings, and ensuring the right priorities get the right time.
  • Proactively manage and protect the CEO's schedule, resolving conflicts, creating buffers, and ensuring focus time is preserved.
  • Coordinate logistics for internal and external meetings, including agendas, pre-reads, and follow-up on action items.
  • Handle travel planning and booking when needed, including flights, accommodations, and itineraries.
  • Dedicate roughly 10 hours per week to office management, covering supplies, vendors, facilities coordination, and creating a great in-office experience for the team.
  • Take on ad hoc projects and administrative tasks that keep leadership unblocked and moving fast
