About The Position

The Executive Assistant provides administrative support to the CEO, COO, CFO, and VP of People. This role is responsible for managing schedules, coordinating meetings, and handling administrative tasks to ensure the efficient day-to-day operation of the executive team. The position requires professionalism, attention to detail, and the ability to manage multiple priorities in a fast-paced environment, strong presence and discretion and an intentional focus on enabling efficiency for executive leaders.

Requirements

  • Bachelor’s degree or equivalent experience
  • 2–5 years of experience supporting senior leaders or executives
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Strong organizational and time-management skills
  • Excellent verbal and written communication skills
  • Demonstrated ability to handle confidential and sensitive information
  • Proven experience performing with executive poise and professionalism
  • High attention to detail and accuracy
  • Ability to manage multiple priorities and meet deadlines
  • Ability to solve problems independently

Responsibilities

  • Manage calendars for multiple executives, including scheduling meetings and resolving conflicts
  • Coordinate meetings, including logistics, catering, materials, registrations and follow-up actions
  • Keep executives on schedule with calendar requirements
  • Screen and manage incoming calls and correspondence
  • Prepare routine correspondence, reports, and presentations
  • Handle confidential information with discretion
  • Re-directs non-executive tasks to enable maximum effectiveness and efficiency for executive team.
  • Coordinate travel arrangements, meeting space, facility logistics, and catering
  • May be asked to prepare and manage travel itineraries for executives and board members
  • Process expense reports and reimbursements in a timely manner for executives and board members.
  • Schedule and coordinate internal and external executive meetings
  • Prepare agendas and meeting materials, may be asked to take meeting notes and track action items.
  • May be asked to follow up with meeting participants to ensure action items are completed by deadlines and in advance of follow-up meetings or deliverables.
  • Management of executive event calendar including internal location visits along with annual scheduling (i.e. strategic planning, budget reviews, talent reviews, etc.)
  • Management of corporate tickets and entertainment
  • Plan company meetings and events
  • Maintain organized files, records, and documents
  • Provide general administrative support to the executive team
  • Serve as a backup for other administrative functions as needed
