About The Position

We’re seeking a highly organized, proactive Executive Assistant to support our team. In this role, you will partner closely with advisors and other departments to triage communications, prepare for client meetings, and ensure daily workflows are executed smoothly and accurately. If you are a master multitasker who excels at anticipating needs and solving problems in a collaborative environment, we want you on our team. This position is based in Des Moines, IA; Coralville, IA; Joplin, MO; or Madison, WI. A hybrid work schedule is available, with a mix of in-office and remote work to support collaboration, flexibility, and business needs. Requirements

  • Bachelor’s degree in a related area of specialty, OR at least 4 years of related experience, OR an equivalent combination of on-the-job experience.
  • Ability to quickly learn and efficiently utilize industry technology, including CRM (Salesforce), GSuite, Microsoft Office (Excel, Word, Outlook), video conferencing, and financial planning software.
  • Strong organizational talents, excellent reading comprehension, basic math skills, and robust problem-solving abilities.
  • Exceptional attention to detail; you are someone who catches the small things and takes pride in accuracy.
  • A self-starter, a multi-tasker, and a goal-oriented team player who can balance working independently with collaborating across the firm.

Responsibilities

  • Communicate and collaborate effectively with staff members to meet the evolving needs of the executives.
  • Track and follow up on outstanding items, research creative solutions, and address priority issues proactively.
  • Monitor and manage the advisor’s electronic and paper communications, effectively triaging emails and phone calls.
  • Ensure high-priority phone calls are completed, routed, or responded to in a timely manner.
  • Ensure all tasks, projects, and meeting materials are completed accurately and well in advance of client meetings.
  • Debrief with advisors on a regular basis following meetings to capture key takeaways.
  • Set future action items and translate meeting outcomes into clear staff assignments.
  • Learn and master various firm systems and technologies (including Salesforce CRM, GSuite, video conferencing, financial planning software, PDF tools, and signature request systems).
  • Maintain a high level of data integrity and strict attention to detail across all operational tasks.
