About The Position

Covert Talent is seeking an experienced Executive Assistant to become the trusted right hand to a music industry founder. This role involves triaging communication, coordinating priorities, and building systems across multiple businesses. The founder manages artists, songwriters, and producers, runs a production music library, and has launched a technology platform for tour managers. The Executive Assistant will be responsible for managing the founder's inbox, WhatsApp messages, diary, and action list, aiming to handle 80% of preparation and follow-up tasks. As capacity allows, there will be opportunities to assist with prospect research, outreach, Tour Advance demos, and marketing tasks. The ideal candidate will be proactive, detail-oriented, and possess strong judgment and communication skills.

Requirements

  • Proven experience as a senior EA supporting a busy founder or entrepreneur.
  • Initiative to identify tasks, suggest next steps, and act without prompting.
  • Careful attention to detail in written communication, scheduling, and follow-ups.
  • A reliable method for tracking tasks and keeping commitments, even with changing priorities.
  • Judgment to prioritize competing requests across multiple businesses.
  • Confidence in managing upwards: asking direct questions, providing reminders, and pushing back constructively.
  • Discretion and sound judgment with confidential correspondence, accounts, and business information.
  • Independence, with a clear understanding of what can be handled and when to involve the founder.
  • Excellent written communication skills.
  • Confidence dealing with clients and other external contacts.
  • Proficiency with digital tools, AI, and simple automations for organizing information and saving time.

Responsibilities

  • Own the inbox: prioritize messages, draft replies, respond or delegate within agreed boundaries, and ensure important correspondence and deal information is easy to find.
  • Maintain a shared action list with clear owners and deadlines, and follow up until outstanding items are resolved.
  • Convert important WhatsApp messages and group conversations into actionable items, preventing requests from getting lost.
  • Transform voice notes and meeting debriefs into next steps, and provide a short daily brief on priorities, decisions, and recommended actions.
  • Coordinate the diary and meetings across the businesses, ensuring dedicated time for focused work.
  • Liaise with teams, artists, clients, and partners, maintaining the founder's tone and identifying when personal communication is required.
  • Improve everyday processes and utilize digital tools or automations to reduce repetitive work.
  • Assist with personal administration, travel research, gifts, and occasional ad hoc tasks.
  • Anticipate needs, flag competing priorities, and remind the founder when attention is required.
  • Support prospect research, outreach, follow-ups, and Tour Advance demo coordination as capacity allows.
  • Assist with marketing and social media tasks once core EA support is established.
