Reporting to the Senior Vice President, Development and working closely with the Chief Executive Officer and Managing Partner, the Executive Assistant is responsible for providing efficient and effective management of the executive administration needs of several Executives. The Executive Assistant is a self-motivated individual who will not shy away from a challenge. This individual has excellent communication and interpersonal skills and can juggle priorities while exercising strong decision making in an exciting fast paced environment. They consistently demonstrate a high degree of attention to detail, work proactively and diligently under pressure, and can undertake a variety of varying tasks with a high degree of effectiveness and efficiency. Requirements

  • 5 or more years’ experience in an Executive Assistant supporting senior level leadership
  • Post-secondary education in Business Administration or relevant discipline
  • Strong communication, organizational, problem solving, and time management skills
  • Demonstrated strong capabilities organizing information
  • Attention to detail and pride in producing quality work is essential
  • Strong interpersonal and relationship building skills
  • High proficiency in Microsoft Office and Adobe
  • Basic research skills
  • Interest in the real estate industry with a drive to fully understand the business

Nice To Haves

  • Familiarity working with Argus and Yardi an asset
  • Experience in a real estate environment considered an asset

Responsibilities

  • Proactively prioritize and balance the basic administrative requirements of three executives including calendar management, meeting scheduling, email monitoring, triaging responses and expenses.
  • Act as an extension of the executives across the organization and with external contacts.
  • Build and manage relationships internally and externally.
  • Proactively identify opportunities to extend the presence of the executive(s) internally and externally.
  • Draft communications in alignment with the vision and values of the organization.
  • Provide basic analysis of information to support the executives in their decision making.
  • Identify action items and proactively follow-up on agenda items or assigned tasks as required
  • Provide support during meetings (room reservations, catering orders, etc.).
  • Other duties as required.
