About The Position

The Alberta Petroleum Marketing Commission (APMC) is seeking an Executive Assistant to provide high-level support to the VP, Natural Gas. The APMC is a Crown agent focused on enhancing the value of Alberta's petroleum resources, managing the province's royalty share, overseeing interests in the Sturgeon Refinery, and leading commercial ventures. Requirements

  • Minimum of 5-7 plus years of experience working with C-Suite Executives.
  • Strong attention to detail and the ability to manage efficiently in a fast-paced, multi-tasked environment with grace, positivity, and a calm demeanour.
  • Proven organizational and time management skills.
  • A resourceful teammate that is proactive and demonstrates flexibility in adjusting to changing and often ambiguous work priorities.
  • Ability to apply discretion and autonomy to make decisions within defined parameters.
  • Strong verbal and written communication skills.
  • Excellent interpersonal skills and the ability to work with different various levels of the organization and leadership.
  • Advanced proficiency with Microsoft Office Suite (e.g.: Excel, Word, Visio, PowerPoint, Outlook, SharePoint).
  • Excellent time management skills to ensure effective completion of all day-to-day activities.
  • Ability to handle multiple issues/tasks seamlessly and calmly while consistently demonstrating respect and integrity.

Nice To Haves

  • Advanced education in business administration diploma or degree is considered an asset.
  • Familiarity with Natural Gas Marketing.
  • Direct work experience within the oil and gas commercial business with a background and knowledge across commercial functional areas (Deal Capture, Contracts, Scheduling, Risk, Invoicing & Accounting) is highly valued.
  • Exposure to other energy industry segments will contribute to success in the role (crude oil, liquids, petrochemicals, foreign exchange, tax, legal, etc.).

Responsibilities

  • Provide high-level executive support to the VP, Natural Gas, including strategic calendar management, meeting preparation, and ensuring readiness with relevant materials and briefings.
  • Manage incoming communications, track and prioritize action items, and ensure timely follow-up using sound judgment and alignment with the Chief of Staff.
  • Coordinate and support team operations, including planning cycles (goals, budgeting, reporting), meeting logistics, and preparation of presentations, agendas, and briefing materials.
  • Support leadership and governance activities by drafting and editing Board materials, coordinating recruitment and onboarding, managing expenses, and collaborating with internal and external stakeholders.
  • Lead and contribute to special projects, including research, analysis, and synthesizing complex information into clear reports for senior leadership and external audiences.
  • Maintain confidentiality, ensure compliance with policies and records management practices, and foster strong cross-functional relationships across the organization and with external partners.
