We are seeking a dynamic and highly organized Executive Assistant to serve as the first point of contact for our executives while providing high-level administrative support to senior management. This position requires exceptional communication skills, discretion, and the ability to manage multiple priorities, which include: Provide comprehensive administrative support to senior executives and their teams, ensuring effective management of time, prioritization and discretion. Coordinate office and administrative duties, including generating and distributing routine reports. Assist in the preparation, proofreading and editing of documents, meeting binders, presentations, and other correspondences for department and executive management. Act as a first point of contact for our executives by greeting visitors with professionalism and warmth. Maintain phone messages, facilitate conference calls, disseminate general information, and provide assistance with applicable questions to callers. Coordinate office and administrative duties, including answering calls, processing invoices, creating/submitting expense reports, ordering office supplies and preparing conference rooms for use. Organize meetings, appointments and travel arrangements, ensuring all arrangements align with the participant’s schedule and preferences. Maintain the department filing system, both electronic and paper, ensuring compliance with company policies and procedures. Proactively anticipate needs, build relationships, demonstrate sound judgement and maintain a productive and positive environment for the executive and their team. Special projects as assigned.
