About The Position

Commvault is seeking an Executive Assistant to provide support to the CHRO and the Chief Technology & AI Officer. As an administrative support role, you will handle calendars/mailboxes, travel arrangements/expenses, and be a strategic partner for each of the executives and their organizations. This position requires strong social skills, reliable business judgment, and an understanding of both strategic and tactical business needs. The utmost of discretion and confidentiality and the ability to prioritize workload is key. Requires an outstanding work ethic. This role will report into the Coral Gables office 5 days a week.

Requirements

  • Minimum of 5+ years’ experience assisting c-level executive in a fast-paced environment
  • Strong command of Microsoft Office, specifically Outlook, PowerPoint, and Excel
  • Extensive experience coordinating both domestic and international travel, including knowledge of passport and visa requirements for different countries and processing applications as needed.
  • Experience supporting more than 1 executive, generally C-Level and VP’s on their staff
  • Ability to balance and prioritize multiple assignments while staying dedicated to deadlines
  • Professional polish and ability to demonstrate patience and composure under pressure
  • Exceptional written and verbal communication skills
  • Superior planning, time management and interpersonal skills
  • Integrity and discretion in handling confidential information and in taking care of professionals inside and outside the company
  • Presentation / PowerPoint creating/editing skills
  • Ability to work in a highly ambiguous environment

Nice To Haves

  • AA or equivalent, BA/BS or equivalent preferred

Responsibilities

  • Proactively handle executive calendars with attention to accuracy, detail and allocation of time to promote efficiency; recognize the need to prioritize as appropriate
  • Run meetings, write meeting minutes and conduct required follow-ups to keep projects on track
  • Own, run, and bring together information from the staff for designated projects
  • Work within the EA team, willingly providing back-up support for co-workers when appropriate and actively supporting group goals
  • Collaborate with senior executives and their staff to coordinate meetings and activities, generally of critical and confidential nature
  • Will use tact and subtlety and practical knowledge of company policies, practices and procedures in day-to-day work
  • Build/manage relationships with direct reports/staff
  • Ability to prioritize, work independently, and proceed with objectives with minimal direction
