About The Position

GSD is looking for an Executive Assistant to drive organizational success through proactive calendar management, complex international travel coordination, and high-level project support. You will act as a cohesive link between our executive team and functional departments, maintaining the highest standards of discretion and excellence as we work to strengthen local capacity in the face of the climate crisis.

Requirements

  • Seven (7) or more years of relevant experience as an executive assistant to a senior leadership position
  • Experience supporting in-office and remote staff
  • Project management experience required
  • Excellent computer skills, to include competency with Google Suite
  • Ability to manage time independently and coordinate multiple projects simultaneously under pressure
  • Confident and effective written and verbal communication, to include proofreading and editing
  • Cultural awareness and the ability to work collaboratively with a wide array of stakeholders to build relationships
  • Ability to proactively identify and critically think to solve problems
  • Exceptional organizational skills, attention to detail, and the ability to rapidly shift tasks
  • Experience working and/or traveling domestically and internationally
  • Ability to use hands, reach, and independently lift and move items weighing up to 20 pounds, carry, push, and pull or otherwise move objects
  • Ability to bend and stoop
  • Ability to sit and view a computer screen for extended periods of time
  • Ability to demonstrate manual dexterity to operate computer and other office equipment
  • Ability to communicate effectively with others

Nice To Haves

  • Certification preferred for project management
  • Working knowledge of Spanish and/or French desired

Responsibilities

  • Proactively manage executive calendars, scheduling, meetings, and shifting priorities while anticipating administrative needs
  • Coordinate domestic and international travel, itineraries, documentation, logistics, and last-minute travel changes
  • Support Salesforce CRM data entry relationships and contact management
  • Prepare, reconcile, and submit expense reports
  • Manage executive communications, information flow, and preparation of correspondence, memos, and internal communications
  • Maintain a high bar for quality through reliability and by rigorously reviewing work for accuracy and consistency
  • Plan and execute organizational events, off-sites, retreats, and leadership meetings including logistics, vendors, and budgets
  • When needed, be prepared to accompany Executives for high-profile engagements
  • Maintain professionalism, discretion, and strict confidentiality as applicable with all materials and matters
  • Cultivate high-trust partnerships across the organization, serving as a cohesive link between the Executive Team and all functional departments
  • Support strategic initiatives and special projects through coordination, communication, reporting, and presentation development
  • Prompt and action GSD’s core values of accountability, humility, and integrity in all work we conduct
  • Promote good stewardship of financial and other resources to achieve maximum benefit to those impacted by disaster or at risk of impact
  • Perform other duties as assigned
