The Role You'll keep the CEO focused on client relationships, product strategy, and growth. This is not a traditional administrative role — at our stage, a strong EA materially changes how much the CEO can get done. You'll manage the CEO's calendar, inbox, and follow-through. You'll be the first point of contact for people trying to reach the CEO, draft communications in his voice, and make sure commitments are tracked and met. You'll report directly to the CEO and work closely with the Chief of Staff, who owns cross-functional strategic projects. This role is focused on the CEO's day-to-day operating rhythm rather than company-wide initiatives.

Requirements

  • 5+ years supporting a C-suite executive, including direct experience supporting a founder.
  • Strong writer — you can draft a client email or board update that lands the right way the first time.
  • High judgment and discretion — you know when to act autonomously and when to flag something.
  • Trusted with sensitive information — board materials, financials, personnel matters, and investor communications routinely cross your desk.
  • You see what needs to happen before being asked, and you follow up until it's done.
  • Highly tech-fluent — comfortable in Outlook, Teams, Slack, HubSpot, and quick to pick up new tools (travel/expense platforms, board portals, docs).
  • Fluent with AI tools — the CEO is a heavy AI user, and part of this role is helping channel that productively: capturing outputs, building reliable workflows, and knowing when to pull him back to a simpler approach.
  • Genuine curiosity about the industry is required.

Responsibilities

  • Manage the CEO's calendar, inbox, and follow-through.
  • Act as the first point of contact for people trying to reach the CEO.
  • Draft communications in the CEO's voice.
  • Ensure commitments are tracked and met.
  • Calendar and inbox management — scheduling, triage, and blocking focus time.
  • Meeting preparation — agendas, pre-reads, talking points, and post-meeting follow-up tracking.
  • Travel coordination — logistics, itineraries, and trip prep.
  • Expenses and corporate card — monthly reconciliation, receipt capture, and coding for the CEO's spend.
  • Board and investor materials — preparation, distribution, and action item tracking.
  • Relationship management — CRM hygiene, outreach cadences, and follow-up for key client and partner relationships.
  • Internal communications — draft updates, coordinate between department heads, and manage company event logistics.
  • Research — background on prospective partners, competitor activity, and one-off briefs as needed.
  • Light office management — Costco runs, keeping the office tidy, coordinating office lunches, booking meeting rooms as needed, and helping run company events.
