About The Position

The National Wildlife Federation (NWF) is seeking an Executive Assistant to provide comprehensive administrative support to the Chief Development Officer (CDO) and the Senior Vice President for Development. This role is crucial for managing the executives' time, overseeing the Development Division's daily operations, and facilitating communication across the organization. The ideal candidate will be a proactive, organized, and discreet professional who can manage multiple priorities in a fast-paced, results-oriented environment, while collaborating effectively with a diverse team.

Requirements

  • 5+ years of work experience as an executive assistant or administrative professional preferred.
  • Proficiency in Microsoft Office Suite.
  • Familiarity with CRM and other fundraising software, various databases, and management reporting tools.
  • High level of self-awareness, empathy, and approachability, coupled with well-honed interpersonal skills.
  • Strong commitment to continuous learning, professional growth, and skills enhancement.
  • Ability to build trust with authenticity and character.

Responsibilities

  • Orchestrate a variety of administrative tasks in support of the executives, performing routine administrative functions and undertaking complex special projects as directed.
  • Facilitate the equitable and efficient utilization of the executives’ time and energy through the development and coordination of active calendars of appointments, meetings, and engagements.
  • Plan and coordinate travel and logistics for the executives.
  • Assist in the development of materials and other collaterals that support the executives' engagements.
  • Prioritize key actions for the executives, ensuring expeditious handling of matters under tight deadlines.
  • Serve as a liaison between the executives and other staff and volunteer leaders, promoting communication and information sharing while safeguarding confidentiality.
  • Monitor incoming mail, email, and phone calls, routing inquiries appropriately.
  • Keep track of the “To Do List” and administer a “Review Queue.”
  • Assist the executives in building relationships with a select portfolio of principal donors and partners.
  • Facilitate the review and approval of correspondence, reports, and collaterals developed by others.
  • Assist the executives in drafting correspondence, documents, and reports.
  • Maintain records, process travel and expense vouchers, and process registrations.
  • Update various management and reporting tools reflecting actions taken.
  • Cross-train and build an understanding of the Development Division’s operations to serve as a resource and assist with various deliverables.
  • Facilitate regular meetings of the Development leadership, including composing agendas, developing and distributing meeting materials, and drafting minutes.
  • Help orchestrate department-wide meetings, team building, and professional development activities, often leading on logistics and onsite event support.
  • Collaborate with Development leadership to produce and maintain standardized reports for monitoring strategy implementation, revenue generation, and resource management.
  • Coordinate administrative and logistical functions for NWF Board and ad-hoc committees staffed by the executives, including planning meetings, developing materials, and drafting minutes.
  • Develop an understanding of the gift processing function, lending support as needed, particularly during high-volume periods.
  • Field inquiries from Board Members and other VIPs professionally and timely, informing executives and appropriate staff.
  • Support Federation staff and volunteer leaders in the development and implementation of donor cultivation, engagement, solicitation, and stewardship strategies.
  • Attend major events and Board Meetings, offering administrative and logistics support as needed.
