About The Position

We are seeking an experienced and motivated Executive Assistant to provide high level administrative support to the C suite within a fast-paced healthcare organization. This role manages complex schedules, ensures effective communication and coordination across departments, and supports strategic initiatives that advance organizational priorities. The ideal candidate is proactive, highly organized, and comfortable navigating sensitive and confidential information in a healthcare environment.

Requirements

  • Experience supporting multiple executives simultaneously
  • Familiarity with healthcare terminology, compliance requirements, and organizational structures
  • Project coordination or process improvement experience
  • Bachelor’s degree in business administration, healthcare administration, or related field strongly preferred

Nice To Haves

  • 5+ years of executive administrative experience, preferably supporting senior leadership
  • Experience in healthcare administration or a regulated industry strongly preferred
  • Strong written and verbal communication, and organizational skills
  • High degree of professionalism, discretion, and judgment
  • Advanced proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint)
  • Proven ability to manage multiple priorities and work proactively
  • Strong problem-solving and organizational skills

Responsibilities

  • Manage complex calendars, scheduling, and coordination of internal and external meetings for multiple C suite executives
  • Prepare executives for meetings, including creating agendas, assembling briefing materials, and tracking follow-up actions
  • Serve as a liaison between the C suite and internal teams, providers, board members, and external partners
  • Draft, edit, and proofread correspondence, presentations, reports, and other executive-level documents
  • Support executive travel planning, including itineraries, logistics, and expense reporting
  • Maintain understanding of organizational priorities to effectively manage competing demands
  • Help coordinate board meetings, leadership retreats, and organizational events
  • Track key deadlines, deliverables, and strategic initiatives to ensure timely completion
  • Safeguard highly confidential information in compliance with HIPAA and organizational policies
  • Support special projects and process improvements across the administrative and executive teams
