About The Position

This position provides high-level administrative and operational support to the Office of the County Administrator, serving the County Administrator, Deputy County Administrators, Chief of Staff, and Deputy Chief of Staff. Responsibilities include coordinating office operations, managing the Board of County Commissioners (BCC) agenda process, and supporting executive-level communications and functions. The role requires professionalism, discretion, and the ability to manage complex, sensitive, and time-critical matters in a fast-paced governmental environment.

Requirements

  • Bachelor’s degree in business administration, public administration, communications, or a related field; or an equivalent combination of education and experience.
  • Five (5) years of experience providing high-level administrative support, preferably in a governmental or public sector environment.
  • Experience coordinating complex processes or projects involving multiple stakeholders (agenda or legislative coordination experience preferred).
  • Must possess and maintain a valid Florida driver’s license and any other endorsements necessary to legally operate vehicles used while assigned to this position.
  • Must possess good interpersonal and communication skills to serve others.
  • Must be able to comprehend, speak and write the English language.
  • Must be able to operate a computer.

  • Agenda or legislative coordination experience preferred.

Responsibilities

  • Provides comprehensive administrative support to the County Administrator, Deputy County Administrators, Chief of Staff, and Deputy Chief of Staff, including calendar management, meeting coordination, and travel arrangements.
  • Prepares memoranda, correspondence, reports, presentations, and other materials in support of County Administration initiatives and priorities.
  • Maintains confidential files and records; handles sensitive information in accordance with applicable laws, policies, and public records requirements.
  • Coordinates and manages supply inventory and procurement for the administrative office suite.
  • Coordinates and manages the Board of County Commissioners (BCC) agenda process.
  • Reviews agenda items for completeness, accuracy, and compliance with established procedures, policies, and deadlines.
  • Coordinates with county departments, constitutional offices, and external agencies to ensure timely submission and processing of agenda materials.
  • Manages the agenda management system, ensuring proper documentation, tracking, and record retention.
  • Assists in the preparation of resolutions, public notices, advertisements, and supporting legislative materials.
  • Serves as a key point of contact for internal and external stakeholders, including county staff, elected officials, partner agencies, and the public.
  • Facilitates communication across departments and leadership to support timely decision-making and issue resolution.
  • Drafts, edits, and proofreads correspondence and other communications on behalf of County Administration.
  • Monitors, manages, and responds to inquiries received through the general information email box.
  • Coordinates logistics for meetings, workshops, and events, including preparation of agendas, materials, and minutes.
  • Tracks follow-up items and supports execution of action items from leadership meetings.
  • Collaborates with executive administrative staff to ensure consistent and efficient office operations.
  • Supports records management functions, ensuring compliance with county and state records retention requirements
  • Assists with administrative processes including procurement, purchase card reconciliation and allocation, budget tracking, payroll coordination, and related transactions.
  • Assists with processing and tracking public records requests.
  • Assists with special projects, research, and strategic initiatives as assigned.
  • Maintains project tracking systems and provides status updates on County Administration priorities.
  • Performs other duties as assigned to support the overall operations of the Office of the County Administrator.
  • Maintains a full-time presence on the job
