About The Position

The Executive Assistant acts as the right hand and business partner to the CEO. This position serves as a critical liaison between the CEO, senior leadership and the Board of Directors. The Executive Assistant will safeguard the CEO’s time, anticipate organizational needs, and ensure that high-priority strategic initiatives are executed without friction.

Requirements

  • Minimum of 7+ years of experience in executive support, with at least 3–5 years directly supporting C-suite leadership in a mid-to-large organization.
  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Expert proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital collaboration tools like Microsoft Teams.
  • High emotional intelligence for navigating diverse personalities and a "proactive mindset" to solve problems before they escalate.
  • High degree of discretion in dealing with confidential information.
  • Aptitude for managing multiple priorities at once.
  • Must be fluent in English, with strong speaking, reading, writing, and comprehension skills.
  • US work authorization is a precondition of employment. The company will not consider candidates who require sponsorship for a work-authorized visa.
  • Successful candidate will need to satisfactorily complete pre-employment drug screen and background check.

Nice To Haves

  • Certified Administrative Professional (CAP) or Professional Administrative Certification of Excellence (PACE).
  • Experience supervising other administrative staff or managing cross-functional project teams.
  • Prior experience within the energy / power generation industry to provide context for strategic support.

Responsibilities

  • Perform substantial calendar management by prioritizing high-value meetings, resolving complex conflicts, and ensuring the CEO has dedicated time for deep strategic work.
  • Coordinate and prepare materials for Board of Directors and senior management meetings, including agendas, briefings, and post-meeting action items.
  • Serve as the primary gatekeeper for internal and external stakeholders, drafting sensitive correspondence and representing the CEO's voice with professional clarity.
  • Manage complex, high-volume domestic and international travel itineraries, including transportation, accommodation, and remote decision-making support.
  • Take full ownership of various strategic projects, from planning executive retreats to assisting with companywide townhall meetings.
  • Handle sensitive corporate and personal information with absolute confidentiality, ensuring that critical data remains protected.
