About The Position

At Stoke, we believe a thriving space economy will enable a vibrant, sustainable, and equitable future here on Earth. That is why we’re building Nova, our fully and rapidly reusable launch vehicle. Designed for daily flight, Nova tackles the core challenges of space transportation by reducing cost, increasing availability, and improving reliability. By radically lowering launch costs and increasing flight cadence, we’re helping create a truly scalable space industry. Our team is mission-driven, collaborative, and empowered to take ownership of their work. If you want to work alongside some of the most dedicated and talented people on Earth, we’d love to have you join us. Reusable launch systems are the key to seamlessly connecting Earth and space. As an Executive Assistant supporting Boltline at Stoke Space, you will serve as a trusted partner to the General Manager and provide coordinated support to the leadership team. You will help leaders prioritize their time, stay prepared, and follow through on commitments. This role combines GM-level expectations for judgment, discretion, and initiative with the varied, hands-on support required in a startup environment. Working closely with Business Operations and Stoke Space partners, you will anticipate needs, create structure, and own executive, administrative, and workplace coordination from request through completion. You must be ready to stay focused, move fast, self-direct, and learn on the fly.

Requirements

  • 5+ years of executive administrative experience, including direct support for a GM, CEO, or comparable senior business leader
  • Experience supporting multiple executives and navigating competing priorities in a fast-moving organization; startup or growth-stage experience is strongly preferred
  • Excellent judgment, discretion, attention to detail, and written and verbal communication skills
  • Strong calendar, travel, meeting, and event coordination skills, with a record of anticipating needs and following through reliably
  • Comfort working with incomplete information: you ask useful questions, recommend a path forward, and adapt as priorities change
  • A hands-on approach and willingness to handle both complex coordination and everyday administrative tasks
  • Proficiency with productivity and collaboration tools, including calendars, email, documents, spreadsheets, presentations, and shared workspaces
  • Ability to build effective relationships across leadership, employees, external partners, and shared-services teams
  • Must be a U.S. citizen, lawful permanent resident of the U.S. (i.e., current Green Card holder), or protected individual as defined by 8 U.S.C. 1324b(a)(3).

Responsibilities

  • Manage the GM’s calendar and coordinate scheduling across the leadership team, using an understanding of business priorities to resolve conflicts and protect time for critical work
  • Anticipate preparation needs, deadlines, and scheduling issues; surface tradeoffs early and recommend practical solutions
  • Coordinate travel, itineraries, expenses, and related logistics, including adjustments when plans change
  • Handle sensitive business and personnel information with sound judgment and discretion; communicate professionally on behalf of leaders when authorized
  • Coordinate leadership meetings, planning sessions, business reviews, and offsites, including scheduling, agendas, materials, rooms, and logistics
  • Partner with meeting owners to ensure inputs arrive on time and leaders have the information they need before discussions
  • Capture decisions and action items as needed, maintain organized records, and follow up with owners on commitments and deadlines
  • Help prepare and organize presentations, briefing materials, and internal communications for executive review
  • Organize team events, all-hands meetings, customer and partner visits, and other activities that support a productive workplace
  • Coordinate visitor arrangements, meeting spaces, catering, and onsite logistics with Boltline and Stoke Space partners
  • Support office and facilities needs, supplies, vendor scheduling, purchases, and employee onboarding logistics in partnership with the responsible teams
  • Take ownership of varied administrative and operational projects, clarifying the outcome, coordinating contributors, and carrying work through completion
  • Build simple, repeatable processes, templates, and checklists that improve coordination as the company grows
  • Identify gaps, recurring friction, and upcoming needs; recommend improvements and act within agreed authority
  • Balance support requests across leaders, making priorities and capacity tradeoffs visible when needs compete
