About The Position

Adobe Design is seeking an Executive Assistant to provide support to the VPs of Product Design for AI products and Creative Pro Design who work with globally distributed teams. Your role will complement and support the leaders for our team’s overarching goals and objectives.

Requirements

  • Bachelor’s Degree or equivalent work experience
  • Minimum of 5 years of experience as an Executive Assistant supporting senior executives (VP+) in a matrixed organization
  • Demonstrated ability to manage logistics and communication across multiple time zones and geographies
  • Comfortable in ambiguous, fast-moving environments where priorities shift
  • Ability to manage competing priorities between two leaders with different working styles, team sizes, and contexts, without creating friction or information gaps
  • Strong ability to build relationships across a large, matrixed org and understand how things actually get done
  • Strong attention to detail and is extremely organized
  • Shows high levels of discretion when exposed to executives' personal lives
  • Clear and concise communication, strong instinct to followup on tasks until completion
  • Ability to remain flexible, embrace change and manage expectations in ambiguous or challenging situations
  • Handles confidential information with integrity and exercise discretion
  • Can juggle multiple demands simultaneously, from the mundane to the more strategic
  • Reliable and accessible, available during normal working hours and available out of hours, as needed, particularly when managers are traveling
  • Proficient with Microsoft Office (MS Teams, Word, Excel, PowerPoint) and other office productivity tools (slack, email, calendaring)

Responsibilities

  • Maintain calendars, coordinate scheduling, manage staff meetings and commitments for a global team
  • Arrange domestic and international travel
  • Partner with team leadership in orchestrating onsite and offsite events for the team
  • Process business expenses and purchase orders on behalf of the two VPs
  • Serve as a coordination point between the two VPs, their chief of staffs, and Executive Administrative Assistants to manage meeting cadences and scheduling leadership forums
  • Partner with Team Ops Program Managers in managing VP’s discretionary budget
  • Support special projects including event management, coordinating client meetings, social and team building activities
  • Assist direct staff and others in the department as needed
  • Stay current on team changes, leadership transitions, and cross-functional dynamics to anticipate scheduling and communication needs before things fall through the cracks
  • Create workback calendar schedule and follow-up to meetings from key milestones and events
