About The Position

We're looking for an Executive Assistant to provide high-level administrative and operational support to Centricity Research's Executive and Senior Leadership Team. In this role, you'll be a trusted partner who keeps leaders focused on strategic priorities: managing complex calendars, triaging executive communications, coordinating meetings and travel, supporting Board and leadership materials, and driving key administrative and people-focused projects across the organization. You'll take in a high volume of requests, communications, and follow-ups and know how to sort them: what needs executive attention, what you can handle directly, what should be routed elsewhere, and what simply can't be allowed to drop. Beyond traditional executive support, you'll also help shape internal communications by designing, formatting, and publishing company announcements and leadership updates, and partner closely with Human Resources on employee engagement and company events. This role is a great fit for someone highly organized, proactive, and adaptable, who exercises excellent judgment and discretion in a fast-paced, high-growth environment.

Requirements

  • Bring 3-5+ years of experience supporting senior executives or leadership teams as an Executive Assistant, Senior Administrative Assistant, or in a similar role.
  • Have managed complex calendars, travel, confidential correspondence, and executive inboxes with strong judgment and discretion.
  • Have coordinated executive meetings, including agendas, action items, and follow-through on commitments.
  • Have experience supporting board materials, executive presentations, or leadership reporting packages, or publishing communications via SharePoint or a similar platform.
  • Are advanced in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, SharePoint) and comfortable picking up AI-powered productivity tools.
  • Communicate with polish and precision and stay organized and unruffled when priorities shift and deadlines compete.
  • Handle sensitive business, financial, and employee information with the highest level of confidentiality and professionalism.

Nice To Haves

  • Have an Associate's or Bachelor's degree in Business Administration, Communications, or a related field (preferred).
  • Have experience with employee engagement, internal communications, or company events, or have worked in healthcare, clinical research, professional services, or another fast-paced, multi-site organization (a plus, not a requirement).

Responsibilities

  • Manage complex executive calendars, proactively triage the CEO's inbox, and serve as a gatekeeper for executive requests, tracking open actions, decisions, and follow-ups across leaders and workstreams.
  • Maintain organized filing systems and confidential documentation, process expense reports and approvals, and build spreadsheets and trackers to keep recurring work on track.
  • Manage travel arrangements, itineraries, and expense reporting for executives, and prepare correspondence and business documents on their behalf.
  • Coordinate internal and external meetings from scheduling through follow-up and support leaders in assembling and formatting Board and leadership meeting materials.
  • Design, format, and publish company communications, leadership updates, and announcements through SharePoint and other channels, keeping them polished and on-brand.
  • Partner with Human Resources and leadership to coordinate engagement initiatives, recognition programs, all hands meetings, and company-wide events.
  • Use Microsoft 365, SharePoint, Teams, and AI-powered tools to streamline administrative work and continually look for ways to improve how the team operates.
