About The Position

Moog’s Commercial Aircraft Group (CAG) is seeking a highly organized, detail-oriented Executive Assistant for an onsite position in East Aurora, NY. In this role, you will support leaders across the site and assist with facility-level tasks. You will report to the Senior Executive Assistant/Site Project Manager.

Requirements

  • Minimum five years of administrative, office management, or operations support experience, preferably supporting multiple leaders or teams simultaneously
  • Degree preferred, relevant experience will be considered in lieu of degree
  • Experience with event, meeting, and vendor coordination
  • Customer service orientation, confidentiality, and discretion
  • Must be well organized, self-directed, and have excellent communication skills
  • Familiarity with office equipment and technology
  • Experience with expense management systems and/or procurement and invoicing systems is a plus
  • Strong experience in Microsoft Office, including Outlook, Word, Excel and PowerPoint

Responsibilities

  • Directly support approximately 15-20 Leaders in East Aurora by Preparing, submitting and tracking expense reports
  • Coordinating off-sites and making arrangements for out-of-town staff
  • Coordinating and distributing group reports, memos, and information
  • Maintaining and ordering group supplies and/or other office equipment
  • Developing and managing contact lists and key external constituents
  • Pay building expenses/invoices
  • Scan and manage documents
  • Prepare invoices, print packing slips, and add sales orders
  • Liaise with and escalate issues to telecommunications vendor as needed
  • Manage CAG Moog store – ordering materials, paying invoices, selling items
  • Draft communications
  • Act as backup and assist the reception desk
  • Administrative Assistant Support Sr. Executive Assistant/Site Project Manager with site/facilities projects as needed, which may include Assistance with seat assignment/floor plan coordination
  • Emergency process coordination and communication (snow delays, fire drills, power outages)
  • Assistance submitting POs, capital requests, expenses for building projects
  • Other duties as assigned
