About The Position

We’re looking for an organized, proactive, and high-energy Executive Assistant to support our CEO and COO and help keep our fast-moving organization running smoothly. This role is more than calendar management and scheduling. Instead, it’s about being a trusted partner to leadership, helping manage priorities, creating structure in a busy environment, and keeping day-to-day operations on track. You’ll be working closely with executives, leaders, clients, and teams across the organization, playing a key role in helping the business operate efficiently and effectively. Requirements

  • Post-secondary education in Business Administration, Office Administration, or a related field
  • Experience supporting senior leaders in an Executive Assistant or senior administrative role
  • Strong organizational, multitasking, and time-management skills
  • Excellent written and verbal communication skills
  • High attention to detail and ability to stay organized in a fast-paced environment
  • Strong proficiency with Microsoft Office Suite and collaboration tools
  • Ability to work independently, prioritize effectively, and adapt quickly

Nice To Haves

  • Experience supporting C-suite executives
  • Exposure to board-level support or executive reporting
  • Experience in construction, operations, professional services, or growth-focused organizations
  • Familiarity with project management tools and executive operations

Responsibilities

  • Provide day-to-day support to the CEO and COO, including calendar management, meeting coordination, and travel arrangements
  • Anticipate needs, manage competing priorities, and help keep executive operations running smoothly
  • Prepare agendas, presentations, briefing materials, and follow-up documentation
  • Handle confidential and sensitive information with professionalism and discretion
  • Act as a key point of contact between executives and internal/external stakeholders
  • Manage complex calendars across multiple stakeholders and time zones
  • Coordinate meetings, leadership sessions, and company events
  • Track meeting action items and follow through on deliverables
  • Arrange domestic and international travel, accommodations, itineraries, and expense documentation
  • Ensure executives are organized and prepared for meetings and commitments
  • Draft and manage executive communications and correspondence
  • Screen and prioritize incoming requests and communications
  • Liaise with senior leaders, department heads, vendors, and external partners
  • Help maintain strong communication flow across teams and leadership
  • Assist with special projects and strategic initiatives
  • Coordinate timelines, meetings, and deliverables across departments
  • Support research, reporting, and presentation preparation
  • Help improve processes and keep projects moving forward efficiently
  • Support leadership meetings, executive planning sessions, and board preparation
  • Maintain organized digital and physical executive records
  • Assist with onboarding and offboarding coordination for leadership roles
  • Ensure executive processes align with company standards and policies
