About The Position

As the Executive Assistant, you'll provide high-level administrative and organizational support to the Executive Director. Additionally, you'll coordinate schedules, communications, board activities, and administrative operations while supporting the efficient execution of organizational priorities and commitments.

Requirements

  • High school diploma or equivalent (GED)
  • At least three years of progressively responsible administrative support experience.
  • Demonstrated ability to manage multiple priorities while maintaining a high level of accuracy and attention to detail.
  • Strong organizational, communication, and time-management skills are essential.
  • Advanced proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
  • Ability to quickly learn and utilize new technology platforms are required.

Responsibilities

  • Manage the Executive Director's inbox calendar, scheduling priorities, and administrative workflow while exercising sound judgment regarding competing demands, deadlines, and matters requiring escalation.
  • Coordinate Board of Directors meeting logistics, communication and material, including preparation of agendas and meeting minutes.
  • Manage tasks and follow-up items by tracking priorities, monitoring timelines, and supporting completion of key organizational commitments.
  • Serve as the primary point of contact for individuals seeking access to the Executive Director and facilitate communication with internal and external stakeholders.
  • Assist with management of donor records, acknowledgements, and stewardship activities utilizing the CRM.
  • Coordinate logistics for meetings or special events including scheduling, materials, catering, setup, and teardown.
  • Maintain accurate and organized records, files, and documentation in both electronic and physical formats.
  • Compile, format and create reports from EHR and ASAC systems using Excel or other relevant software.
  • Identify opportunities to improve administrative processes, communication workflows, and operational efficiency.
  • Provide backup reception coverage as needed.
  • Maintain confidentiality and exercise discretion when handling sensitive organizational, employee, donor, board, and patient information.
