About The Position

The Executive Assistant supporting the President is responsible for providing confidential executive-level support, managing and coordinating both personal and professional administrative tasks as designated. This position will regularly require resolution of complex administrative problems independently, and the performance of tasks that are diverse and advanced. Daily tasks should be handled with the utmost precision and confidentiality.

Requirements

  • Must be a highly organized, motivated self-starter with impeccable attention to detail
  • Must work with a sense of urgency and demonstrate the ability to prioritize and work diligently and effectively under pressure
  • Highly skillful and passionate about delivering results in a challenging and fast-paced environment
  • Able to easily adapt to procedures, processes and techniques, paying great attention to detail during the completion of assignments and in line with the company’s activities, deadlines and goals
  • Possess a strong acumen of professional and courteous business communication skills (written, verbal and behavioral)
  • Able to interact with all levels of staff, in a fast-paced environment, sometimes under pressure, and must remain flexible, proactive, resourceful and efficient
  • Advanced proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and Internet navigation and search
  • Must be able to work a minimum of 40 hours per week
  • Ability to meet highest attendance requirements
  • Ability to handle multiple tasks concurrently
  • Ability to use personal computer, calculator, etc

Responsibilities

  • Provide administrative and personal support to the President and their direct reports as necessary
  • Exercise extreme confidentiality, initiative, and sound decision-making
  • Able to assess needs, exceed their satisfaction and apply independent judgment to escalating, serious or unique situations as necessary
  • Facilitate communication between the executive and their direct reports. Assess and prioritize the urgency of situations and determine appropriate action
  • Responsible for heavy calendar management, requiring interaction with both internal and external Executives and Assistants, to design the executive’s week around priorities, energy, decision cadence, deep work, travel, and relationship management
  • Screen and distribute incoming calls, emails and traditional mail for the executive to maximize use of their time. Review and prioritize all incoming correspondence. Determine actions required and follow through to completion
  • Coordinate and direct office services, such as records and budget preparation, personnel, and housekeeping, in order to aid Executives
  • Timely processing of expense reports, check requests and completing other Accounts Payable functions as directed
  • Handle complex travel arrangements that constantly change based on busy schedule, while ensuring details are communicated to and recorded in the Executive’s Outlook calendar
  • Maintain a professional and positive attitude at all times and provide assistance to other members of the Executive Team when needed
  • Other duties as assigned
