About The Position

The Executive Assistant (EA), Office of the CEO provides administrative support across the Office of the CEO, flexing to the CEO's needs while supporting company-wide initiatives for internal executives, board members, and external customers. Part of a shared service model, this role supports the Lead EA in the Office of the CEO and reports to the Director of Administration – Executive Operations. Full-time, in-office five days/week, based in San Francisco.

Requirements

  • 7+ years in an executive administrative role, including full-time experience directly supporting C-Suite executives at a scaling tech company with distributed global teams.
  • Exceptional written, verbal, and interpersonal communication skills, with strong attention to detail across numbers, logistics, and correspondence.
  • Sound judgment handling confidential and sensitive information, with the ability to prioritize competing demands in a fast-paced environment.
  • Proven success planning and executing offsites or large-scale events, and building clear, compelling decks, agendas, and executive communications.
  • A proactive, process-improving mindset and the ability to work independently while keeping stakeholders aligned.
  • Proficiency in Google Workspace (Gmail, Docs, Sheets, Drive, Slides) and AI productivity tools/automations to drive executive efficiency.
  • A growth mindset, strong cross-functional collaboration skills, and alignment with Crusoe's values and culture.

Responsibilities

  • Manage complex calendars, expense reports, confidential correspondence, and travel for Crusoe's leaders, keeping stakeholders informed throughout.
  • Coordinate calendars for Leadership's direct reports and manage scheduling requests to maximize executive time across team, cross-functional, and external meetings.
  • Maintain agendas, document notes, and coordinate follow-through meetings as needed.
  • Lead planning and execution of leadership offsites, team events, and gatherings, owning logistics, vendors, agendas, and on-site support.
  • Identify and implement new processes to improve team collaboration, efficiency, and communication.
  • Partner with other EAs and Workplace Managers on corporate travel, conference registrations, and company-wide events.
  • Provide backup executive support in situations including but not limited to leaves of absence and PTO coverage for other EAs, ensuring continuity on cross-functional projects and other areas of executive support.
  • Be accessible outside standard hours for urgent matters, and handle other duties as assigned.
