About The Position

Neuemotion is seeking its first Executive Assistant to support five executives, with a significant portion of the week dedicated to the CEO. This role is designed to alleviate tasks that consume executives' time, allowing them to focus on their core responsibilities. The Executive Assistant will manage calendars, book travel, coordinate vendors for executive initiatives, prepare for meetings, and ensure commitments are followed through. While not an office manager, HR coordinator, or event planner, the role involves managing physical office tasks such as scanning mail, organizing equipment, and shipping items. The position requires a candidate who is organized, an excellent communicator, comfortable with ambiguity, discreet, and physically capable of handling equipment. The role is based near Denver, CO, with a future move to Boulder, CO anticipated. Experience supporting senior executives in a fast-paced, small company environment is preferred, as is prior experience as a first Executive Assistant.

Requirements

  • Supported at least one founder or senior executive before, ideally in a fast-moving, small company.
  • First-EA-in-the-building experience is a plus.
  • Highly organized.
  • Clear written communication skills.
  • Comfortable with ambiguity.
  • Ability to manage context for multiple individuals simultaneously.
  • Discreet.
  • Able to lift a Pelican case.
  • Willing to make trips to the post office.
  • Located in or near Denver and/or Boulder, with plans to stay.
  • Understanding that the role may evolve.
  • Familiarity with Google Workspace, Slack, Asana, Harvest, and Claude is a plus.

Responsibilities

  • Manage CEO's calendar, inbox, and travel arrangements.
  • Prepare for new business and client meetings for the CEO.
  • Track CEO's commitments and ensure their completion.
  • Handle one-off tasks for the CEO, such as sending notes, gifts, or follow-ups.
  • Schedule and coordinate vendors for the Director of Operations.
  • Source and book travel for team members.
  • Manage calendars and flights for the VP Client Services, SVP Brand Strategy, and SVP Production.
  • Reschedule meetings as needed due to unforeseen circumstances.
  • Facilitate 'work days' for executives when requested.
  • Visit the office approximately once a week to scan incoming mail and handle physical tasks.
  • Keep camera and production equipment packed, organized, and ready for use.
  • Ship equipment to team members and shoots.
  • Assist with logistics for company events, including booking and coordination.
  • Potentially manage the office in Boulder, CO in the future.
