About The Position

The Expediter & Operational Anchor We are seeking a world-class, "Type A" Executive Assistant to serve as the strategic right hand to a high-intensity C-suite leader. You will report into a high performing, fast-paced and direct leader who operates at a high level across multiple business units—including a major real estate brand and several high-stakes side projects. This is not a role for someone who needs a handbook or a set of pre-defined SOPs. We are looking for the "Law and Order" person—someone with a serious backbone who can thrive under intensity and bring structure to chaos. You are the "Expediter." Your mission is to see the board, optimize the board, and ensure the Founder stays focused on the high-value work that only they can do. To give an analogy, you are the “mission controller”!

Requirements

  • High-Intensity Pedigree: Previously reported to aggressive, high-intensity, "Type A" C-suite executives.
  • Comfortable with direct feedback and fast-paced environments.
  • The Backbone: Confidence to push back, re-prioritize the Founder's time, and hold leadership accountable to their own schedule.
  • Type A Personality: Hyper-organized, meticulous with detail, and thrives on bringing order to a "Type B" leader.
  • Fluent English: Professional, sophisticated written and verbal English capable of representing the Founder.
  • Advanced experience in Notion and ClickUp.
  • Proficient in Slack, Google Workspace, and Mailchimp.
  • Comfortable using AI to draft content, summarize recordings, and optimize workflows.

Nice To Haves

  • Familiarity with GoHighLevel or HubSpot CRM.

Responsibilities

  • Own the Founder’s inbox across multiple business lines, filtering, rerouting, and responding to emails to attempt "Inbox Zero" with daily triage.
  • Proactively identify client and partner needs, ensuring they are flagged for the founder to address before a bottleneck occurs.
  • Assist with expanding brand reach by managing email blasts and basic campaigns via tools like Mailchimp.
  • Manage a complex schedule blending high-stakes commercial real estate meetings with personal and family logistics.
  • Conduct a daily morning and end-of-business-day "brief" outlining the Founder's schedule, location, and high-priority objectives.
  • Protect the Founder’s time aggressively, ensuring focus on "Zone of Genius" tasks and sharing insights to keep leadership on track.
  • Audit and drive order across remote software stack (Notion, ClickUp, Slack), fixing or building new processes as needed.
  • Provide support in cleaning and maintaining CRM systems (GoHighLevel and a transition to HubSpot) to ensure data is actionable and organized.
  • Take ownership of Google Drive organization and file structures to ensure everything is searchable and professional.
  • Leverage AI tools (Claude/ChatGPT/Grok/Gemini) as a daily force multiplier to increase velocity and improve deliverable quality.
  • Handle various personal administrative needs, including light finance reminders (e.g., bill paying), acting as a "work and life" EA.
  • Act as a sounding board for new ideas and research new platforms or strategic opportunities.
