About The Position

NODA is a veteran-owned, venture-backed technology company that is transforming how unmanned systems collaborate in complex, mission-critical environments. We are developing next-generation solutions that enable the autonomous orchestration of heterogeneous unmanned systems across air, sea, land, and space with vital applications in the defense, intelligence, and commercial sectors. We are looking for an exceptional Executive Assistant to join our team and help keep our Executive team organized, efficient, and focused on what matters most. Joining NODA means working on meaningful technology that pushes the boundaries of autonomy alongside a team that thrives on innovation, rapid iteration, and collaboration. We're expanding our Executive Support function and hiring across multiple roles to partner with our growing leadership team. As an Executive Assistant, you will provide high-level support to our Executive team, ensuring their time and priorities are effectively managed. You will be the go-to person for organization, communication, and execution of administrative tasks. This is a dynamic role at a fast-paced startup, perfect for someone who thrives in a high-energy environment and can anticipate needs before they arise.

Requirements

  • 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role (experience in a startup or technology company preferred)
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication skills
  • High level of discretion and professionalism
  • Proficiency with Microsoft Office, and modern productivity tools
  • Ability to work independently, prioritize effectively, and thrive in a fast-paced environment
  • A proactive mindset with a strong sense of ownership and attention to detail

Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate travel for executives
  • Prepare and edit correspondence, communications, presentations, and other documents
  • Act as a liaison between executives, team members, and external partners
  • Support board meetings, investor updates, and other high-profile engagements
  • Handle confidential information with discretion and professionalism
  • Anticipate the needs of executives to ensure smooth daily operations
  • Serve as the primary point of contact for office operations and facilities.
  • Oversee office inventory, ordering supplies and ensuring availability of resources.
  • Coordinate and book domestic and international travel, including flights, hotels, ground transportation, and itineraries for executives
  • Process and reconcile select employee travel reimbursements in compliance with company policy.
  • Assist with special projects, events, and team initiatives as needed
