About The Position

HOH Water Technology is seeking an Executive Assistant to become an indispensable partner to their Owner/Integrator (COO). This role goes beyond calendar management, aiming for the assistant to be a trusted extension of the COO, creating space for leadership by managing commitments, relationships, meetings, and details with excellence. The ideal candidate will protect the COO's time, keep priorities moving, anticipate future needs, and ensure a high level of personal care and responsiveness to those around him. The position is ideal for someone who finds satisfaction in creating clarity, strengthening relationships, and supporting others while ensuring smooth operations of priorities, communication, and details.

Requirements

  • 5+ years supporting senior executives, business owners, or leadership teams.
  • Exceptional organizational and time management skills.
  • Outstanding written and verbal communication.
  • High degree of professionalism, confidentiality, and discretion.
  • Strong proficiency in Microsoft Office, Outlook, Teams, and digital productivity tools.
  • Experience coordinating complex calendars, travel, and executive meetings.
  • Comfortable learning new technology and leveraging AI to improve efficiency.
  • Ability to prioritize independently and thrive in a fast-paced environment.
  • Must be able to report to our Palatine, Illinois office every day; this is not a remote or hybrid role.
  • Bachelor’s Degree required.
  • Must pass a drug screening and relevant background checks and be legally authorized to work in the United States.

Responsibilities

  • Own and protect the COO’s calendar, ensuring his time is spent where it creates the most impact.
  • Prepare meetings from start to finish, including agendas, materials, logistics, and follow-up.
  • Manage communications, organize information, and handle confidential matters with exceptional judgment.
  • Coordinate travel, leadership meetings, and special events with an eye for every detail.
  • Serve as a trusted extension of the COO by helping maintain meaningful relationships with employees, clients, vendors, and industry partners.
  • Keep priorities moving, follow up on commitments, and make sure nothing falls through the cracks.
