Requirements

  • Bachelor’s degree or equivalent professional experience
  • 4 –8+ years of experience supporting senior-level executives
  • Proven ability to manage office operations or team coordination
  • Advanced proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams)
  • Excellent written and verbal communication skills

Nice To Haves

  • Prior experience overseeing an office or serving in an EA/Office Manager hybrid role
  • Strong project management or coordination experience
  • Experience supporting multiple executives simultaneously

Responsibilities

  • Provide proactive, high-level administrative support to several executives, including calendar management, meeting coordination, and travel arrangements
  • Prepare and edit correspondence, presentations, reports, and briefing materials
  • Act as a trusted liaison between executives and internal/external stakeholders
  • Prioritize and manage competing demands, ensuring deadlines are met
  • Handle confidential and sensitive information with discretion and professionalism
  • Oversee the daily operations of an office supporting approximately 25+ employees
  • Serve as the primary point of contact for office-related needs, policies, and procedures
  • Coordinate office logistics including space planning, supplies, equipment, and vendor relationships
  • Support onboarding and offboarding processes in partnership with HR
  • Help foster a positive, efficient, and inclusive office culture
  • Plan and coordinate meetings, offsites, and events (both in-person and virtual)
  • Establish and maintain administrative systems and processes to improve efficiency
  • Track action items and follow up on deliverables across leadership and team initiatives
  • Identify opportunities to streamline operations and enhance executive productivity
