About the Role The Sustainable Investment Group is seeking an Executive Assistant to provide administrative support to a senior team of investment professionals in a fast‑paced, dynamic environment. This role demands exceptional judgment, precision, and the ability to manage complex, high‑volume priorities across a global organization. The Executive Assistant will oversee complex scheduling, travel, and meeting logistics, while proactively anticipating needs and resolving issues with discretion, efficiency, and professionalism. Serving as a trusted partner to managers and directors, this individual will be instrumental in enabling leaders to remain focused on investment execution and strategic decision‑making. The ideal candidate is adaptable, collaborative, and comfortable navigating change while handling sensitive and confidential matters. While prior investment management experience is not required, a strong interest in the business is highly valued. Over time, the role offers expanded scope, including participation in proxy stewardship initiatives, and provides meaningful exposure to the investment platform within a high‑performing, mission-driven organization.

Requirements

  • Minimum of 3 years’ experience within an administrative role in a professional services organization
  • Advanced proficiency in MS Office with an ability and desire to learn new technology to drive efficiencies
  • Demonstrated strong detail orientation, diligence and overall high work quality
  • Excellent organizational, multi-tasking and prioritization abilities
  • Proactive problem-solving skills and an anticipatory mindset
  • High level of reliability, professionalism and discretion
  • Ability to work under deadlines and to accommodate last-minutes changes
  • Positive, can-do attitude; Flexibility; Sense of humor

Responsibilities

  • Deliver high‑level, proactive administrative support to Managers and Directors, ensuring seamless day‑to-day operations within a fast-paced, global investment environment.
  • Own and manage highly complex calendars across multiple time zones, exercising sound judgment to prioritize competing demands and anticipate potential conflicts.
  • Coordinate domestic and international travel, including detailed itineraries, logistics, and real‑time problem resolution as plans evolve.
  • Plan and execute logistics for internal and external meetings, investor interactions, offsites, and team events, partnering effectively with internal teams and external stakeholders.
  • Prepare, review, and distribute detail‑oriented materials such as meeting preparation packets, daily reports, and internal communications with a high degree of accuracy and professionalism.
  • Participate in select team meetings to capture key decisions, action items, and follow‑ups, ensuring appropriate documentation and continuity.
  • Process expense reports efficiently and accurately, maintaining compliance with firm policies and procedures.
  • Act as a central point of contact for the team, representing leaders with discretion, professionalism, and a strong service mindset.
  • Provide cross‑coverage and backup support for other Executive Assistants, contributing to a collaborative and flexible administrative team model.
  • Support ad‑hoc projects and broader initiatives as needed, demonstrating intellectual curiosity, adaptability, and a willingness to take on increasing responsibility over time.
