About The Position

The Senior Executive Assistant role is an in-office position. The successful candidate will have at least 5 years of successful, verifiable tenure as a Senior Executive Assistant. They will be a high-visibility, trusted partner responsible for providing comprehensive support to executive leadership—primarily the CEO, COO, and Business Development VP. This role requires exceptional judgment, discretion, and efficiency. You will need to be proactive, detail-oriented, and highly organized, with a strong ability to manage complex schedules, communications, and projects across multiple departments and affiliated companies. This position also includes oversight of key administrative workflows and the flexibility to assist other senior leadership. The Senior Executive Assistant acts as a central point of contact internally and externally, ensuring alignment and productivity at the highest levels of the organization.

Requirements

  • Strong ability to manage complex schedules, communications, and projects across multiple departments and affiliated companies
  • Proficiency in scheduling platforms, productivity apps, and collaboration tools (e.g., Microsoft Office, Trello, Slack)
  • Experience managing digital file systems and internal databases
  • Experience with business management software, including QBO and CRM tools

Responsibilities

  • Manage and prioritize complex executive calendars, appointments, and travel itineraries
  • Serve as the gatekeeper for executive communication and scheduling
  • Prepare correspondence, reports, presentations, and other confidential materials
  • Take meeting minutes and follow up on action items on behalf of leadership
  • Act as liaison between executives and internal/external stakeholders
  • Coordinate interdepartmental projects and support cross-functional initiatives
  • Maintain and improve administrative systems to ensure seamless operations
  • Assist in strategic planning processes and business development efforts
  • Support high-level meetings, including board and investor relations
  • Draft, edit, and proofread professional communications and announcements
  • Maintain confidentiality while handling sensitive internal and client information
  • Represent the leadership team with professionalism and discretion
  • Utilize scheduling platforms, productivity apps, and collaboration tools (e.g., Microsoft Office, Trello, Slack)
  • Manage digital file systems and internal databases with accuracy and efficiency
  • Use business management software, including QBO and CRM tools
  • Support event planning and high-profile engagements
  • Coordinate travel logistics, accommodations, and itineraries
  • Handle occasional personal or off-site assignments as requested by executives
