About The Position

The Executive Assistant (EA) will provide high-level administrative, operational, and strategic support to C-suite executives. This role requires exceptional professionalism, discretion, organizational prowess, and the ability to operate in a fast paced, dynamic, and highly visible environment within a global media and advertising agency across a matrixed organization. The EA will act as a strategic extension of the executive – optimizing time, facilitating communication, managing priorities, anticipating needs, and ensuring effectiveness across internal and external engagements.

Requirements

  • Exceptional organizational and time-management skills with the ability to manage competing priorities.
  • Strong written and verbal communication skills — clear, concise, and professional.
  • Superior interpersonal and relationship-building skills with the ability to communicate effectively.
  • High emotional intelligence, discretion, and sound judgment.
  • Proficiency with productivity tools (Microsoft 365, Teams, Zoom, Concur, etc.).
  • Ability to work across cultures and time zones with flexibility and resilience.
  • Demonstrated ability to manage confidential and sensitive information with integrity.
  • Bachelor’s degree
  • Minimum 8+ years of executive support experience, with at least 5 years supporting C-suite executives (preferably in a global role).
  • Experience working for a global or multinational organization, preferably in media/advertising or similar field.

Responsibilities

  • Manage complex, dynamic calendars across multiple time zones; anticipate needs and proactively identify opportunities to optimize time and impact.
  • Adapt quickly to last minute changes, ensuring seamless communication and coordination.
  • Plan and manage extensive domestic and international travel, including visas, itineraries, accommodations, and contingency planning.
  • Prepare for meetings — including agendas, briefings and follow-up actions.
  • Manage expense reporting, budgets, and vendor relationships with accuracy and confidentiality.
  • Coordinate strategic initiatives and track progress on key company priorities, ensuring deliverables are met.
  • Coordinate executive meetings, offsites, town halls, and leadership/client events.
